Responsibilities:

Essential Functions:

  • In collaboration with the RN Clinical Manager, manages vaccine inventory and organization of VIS as needed for patient care

  • Under the guidance of the RN Clinical Manager, maintains updated inventory of Emergency Medications and supplies

  • In collaboration with the RN Clinical Manager and Provider Scheduler, manages daily MA assignments and provides MA coverage as needed based on the needs of the sites

  • Delegates and ensures site MAs complete tasks and assignments as assigned (i.e. cleaning and stocking of exam rooms, quality assurance tests, and other tasks as assigned)

  • Assists in the on-boarding and training process for MAs

  • Assures that all medical assistants have completed their competencies which are documented on the MA competency checklist

  • Ensures all MA’s can independently perform all duties on the MA Competency Checklist

  • Collaborates with RN Clinical Manager when an MA requires additional support with MA competencies

  • Helps to facilitate and support team-based huddles

  • Provides leadership and training in collaboration with site RN Clinical Managers and site Medical Directors for any site needs related to implementation of standard or new MA workflows

Administrative

  • Provides outstanding customer service, both to internal and external customers

  • Answers phone, emails, Teams, or EMR message as needed

  • Contacts patients as needed, via letter, telephone or patient portal

  • Schedules patients as needed

  • HIPAA: Maintains integrity and completeness of medical record and patient confidentiality

  • Scans, copies and faxes documents, as needed

  • Prepares and writes letters for patients as approved by PCP

  • Participates in team and site meetings

  • Other assigned duties to support the patient care team

  • Assists in the development of clinical policies and patient flow design, with particular attention to protocols around screening and risk stratification

  • Completes or delegates all forms and paperwork from outside agencies, as appropriate, before sending to the Provider for review and signature

Clinical

  • Screens patients according to established protocol including but not limited to height, weight, urine testing, hematocrits, vision testing, blood pressure, PHQ-9

  • Prepares paperwork for referrals as needed

  • Provides translation services as needed

  • Sets up for procedures as listed under the MA competency checklist

  • Obtains tests as delineated under the MA competency checklist

  • Performs the tasks within the EMR as listed in the MA competency checklist

  • Participates in the orders, hospital discharge and ER tracking

  • Clean and stock exam rooms

  • Perform quality assurance tests as necessary

  • Maintain an inventory control system

  • Maintain sterilization statistics

  • Manages durable medical equipment requests.

  • Assists with visiting nurse referrals and prior authorizations

  • Reviews refill requests from pharmacy and patients based on medication refill protocol; reconciles patient medication lists and attaches pertinent information necessary for Provider to authorize the refill

Requirements

  • Graduate of a Medical Assistant program and/or two years’ experience in a community-based or ambulatory care setting.

  • Completion or willingness to complete Basic Life Support training (CPR)

  • Ability to work effectively as part of the team

  • Willingness to be flexible about work assignments

  • Strong interpersonal and communication skills

  • Bilingual/bicultural especially Spanish or Portuguese a plus

  • Current vaccination against pertussis and tetanus.

  • Current vaccinations against Flu and COVID-19, unless a religious or medical exemption is granted. Employees who decline vaccination will be asked to wear a mask at work during Flu/COVID season to protect our vulnerable patients.

  • Evening and weekend availability as assigned

  • Completion of NSCH compliance trainings

This is an administrative job by nature but does require mobility and being able to commute from various offices and patient homes. Must be able to use a computer/laptop and phone in addition to the mobility.

As a health center, NSCH ensures that all employees comply with the annual requirements for vaccinations and health screenings. All employees must be vaccinated against COVID-19 as a condition of their employment unless they have been granted a religious or medical exception. Proof of COVID-19 vaccination must be provided, and prospective employees must be vaccinated before their first day of employment, submitting their vaccination record and pre-hire paperwork.
