Indian Health Service Office Automation Assistant in Gallup, New Mexico

Summary This position is located with the Medical Supply Section, General Services Branch at Gallup Indian Medical Center in Gallup, NM. The primary purpose of this position is to provide general office clerical support; maintain rental equipment contracts and service contracts; input and track purchase requisitions for hospital equipment, supplies, etc.; limited timekeeping duties, and purchasing supplies. Responsibilities 08/12/2024: This position is being re-announced to solicit additional candidates. Attends meetings, prepares meeting minutes, and follows up on action items with appropriate staff members. Maintains calendar and schedules appointments based on knowledge of priorities and commitments. Performs a wide variety of administrative tasks associated with maintaining and supporting the work of the organization. The work will include purchasing supplies and equipment utilizing prescribed purchasing guidelines and procedures; establishing and maintaining filing and tracking systems; assist with product researching and obtaining quotes as requested. Compiles library of reference materials, (gathering, extracting, and reviewing) of medical equipment and vendors. Serves as primary timekeeper for the Medical Supply team, and as a backup timekeeper to the General Services Secretary. Enters and verifies time and attendance and annual and sick leave balances. Qualifications To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. MINIMUM QUALIFICATIONS: GS-05: Applicant must successfully complete 4 years of education above high school leading to a Bachelors Degree.-OR- Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Experience maintaining filing systems, preparing written correspondence, reports, forms, interact with persons within and outside the organization, receives and answers telephone inquiries; the use of automated systems equipment and timekeeping duties. Performs tasks required to maintain electronic records, e.g., calendars, directories, spreadsheets, and databases, and/or to produce various items. Composes routine correspondence. Proofreads/edits documents for correct grammar, spelling, capitalization, punctuation, and format. Combining Education and Experience: Equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements at grades GS-5 and below. For GS-5 level positions, only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. Typing Proficiency Requirements: In addition to meeting experience or education requirements, applicants for these positions must show possession of the following skills, as appropriate. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test. Must submit a copy of your certification. Time In Grade Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).You must meet all qualification requirements within 30 days of the closing date of the announcement. Education This position has an education requirement. You are strongly encouraged to submit a copy of your transcripts or a list of your courses including titles, credit hours completed, and grades. Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. This credited service can be used in determining the rate at which they earn annual leave. This position is covered by a Bargaining Unit. No recruitment or relocation incentives authorized.
