Job Description:

This position is located in the College of Public Health and Health Professions (PHHP) and will work closely with cross-functional teams including the Associate Dean for Research (ADR), the PHHP Dean’s Office Leadership and administrative staff, the PHHP Research Committee and college faculty, to ensure that action plans related to Research initiatives are executed effectively, and that progress is tracked, reported, and communicated to stakeholders.

Projects

With guidance from the ADR, provide direct high-level oversight to various ongoing initiatives including project scope, objectives, timelines, and deliverables, involving all relevant stakeholders. Track and regularly report project progress, performance, issues, and updates to the ADR. Serve as the primary conduit for the receipt and flow of information relative to college research initiatives as outlined by the ADR. Develop and maintain detailed project plans for college research initiatives including but not limited to “PHHP Days”. Work alongside the college Event Coordinator to execute this annual 2-day college wide interactive event. This may include soliciting and managing submission of abstracts and their reviews, organizing and disseminating feedback from reviewers, coordinating event logistics such as budget, location, catering, and developing schedules for event components. Work with the PHHP Marketing and Communications (MarCom) team for advertisements, digital event reminders, and event visibility. Be flexible and adaptive for various other duties that may be required related to this event.

Administrative Support

Manage logistics and provide support for monthly College Research Committee and Executive Research Council meetings, as well as PHHP Faculty Academy and 1:1 meetings between the ADR and college faculty. Coordinate with college administrative staff to ensure smooth execution of Faculty Academy logistics. Responsibilities include organizing and schedule recurring meetings, ensuring alignment with participant availability, developing detailed agendas, recording meeting minutes, creating clear action items. Ensure timely dissemination of meeting outcomes to all stakeholders. Action Item Tracking: Follow up on action items to ensure completion, closing out topics in a timely manner. Collaborate with the ADR admin assistant on travel and calendar management for the ADR as needed, ensuring alignment with broader project and meeting schedules.

Serve as a point of contact on the administrative team in the Dean’s office in the College of Public Health and Health Professions in furtherance of the college’s mission. This includes office coverage, backup coverage for administrative team functions, event support, etc. This position must collaborate and work in an inclusive, team environment to ensure the smooth operation of the Dean’s office at large.

Resource Management

Coordinate and manage internal and external college resources and stakeholders. Work with College and University entities – such as College Research Core, College MarCom team, PHHP Advancement, Human Resources, Division of Sponsored Programs etc. - as needed and directed in support of strategic initiatives as they relate to data and reports. This may include collecting/collating information, supplying data, running/requesting reports, and other duties as assigned. Assist with collecting information for the College Annual Report (PHHP Impact Report), review drafts, and provide feedback.

Communication

Maintain open and transparent communication with all stakeholders providing regular updates on the status of action plan, initiatives and managing outgoing communications for the ADR. Disseminate information/announcements. Steward updates for websites and portals for the PHHP Office of Research. Design and deploy web portals/Qualtrics surveys for the various Office of Research initiatives.

Documentation

Implement and maintain a robust system for tracking and reporting on the progress of action plans ensuring that key stakeholders are informed regularly. Maintain comprehensive records related to college research initiatives and activities including schedules, announcements, applications, submissions, reviewers, feedback, meeting minutes and event related documentation.

Expected Salary:

$70,000 - $80,000 annually; commensurate with education and experience.

Minimum Requirements:

Bachelor's degree or an equivalent combination of education and experience.

Preferred Qualifications:

  • Master’s degree in Business Administration, Public Health, Project Management, or a related field.

  • At least 2-years of proven experience with academic program management and/or grants management.

  • Strong organizational and multitasking skills.

  • Excellent communication and interpersonal skills.

  • Experience in event planning and coordination.

  • Ability to work independently and as part of a team.

  • Excellent verbal and written communication skills, with the ability to clearly convey information, collaborate with diverse teams, and engage effectively with stakeholders at all levels.

  • Demonstrated ability to work in a confidential environment, handling sensitive information with discretion, integrity, and adherence to privacy regulations and university policies.
