DESCRIPTION
We are looking for a talented Administrative Associate - Level II - General Management to join our team specializing in General Management for our Distribution Business Unit in Gaborone, Botswana.
In this role, you will make an impact in the following ways:
Streamlining Processes: By coordinating documents and managing data entry, you’ll ensure that information flows smoothly and efficiently within the team or department.
Enhancing Decision-Making: Your research and preparation of statistical reports will provide valuable insights, aiding leaders in making informed decisions.
Improving Accuracy: By verifying and accurately entering data into various documents and systems, you’ll maintain high standards of accuracy and reliability.
Supporting Operations: Assisting with data collection, report generation, and administrative tasks will keep departmental activities running seamlessly.
Facilitating Communication: Preparing correspondence, arranging meetings, and handling inquiries will enhance communication within the organization and with external parties.
Ensuring Compliance: Documenting and maintaining departmental policies and procedures will help ensure that the team adheres to organizational standards and regulations.
Financial Management: Preparing and submitting payment documentation will support the financial operations of the department, ensuring timely and accurate transactions.
Contributing to Improvement: Participating in business improvement projects will allow you to contribute to the continuous enhancement of departmental processes and efficiency.
RESPONSIBILITIES
To be successful in this role you will need the following:
Strong Analytical Skills: Ability to discover, interpret, and communicate both qualitative and quantitative data. This includes applying statistics, ensuring data validity, and using data visualization tools to extract meaningful patterns and business insights.
Organizational and Coordination Abilities: Efficiently manage the preparation and coordination of visa and work permit applications, facilities maintenance, and legal licenses for vehicles, premises, and mobile radio devices.
Effective Communication: Present conclusions and outcomes clearly to enable data-driven business decisions. This involves translating complex data into understandable insights for stakeholders.
Planning and Prioritization: Plan and prioritize work to meet commitments aligned with organizational goals, ensuring that all tasks are completed efficiently and effectively.
QUALIFICATIONS
Education/ Experience:
College education is essential.
Extensive experience as an Executive/Personal Assistant is required.
Knowledge of events planning will be an added advantage.
