GENERAL DESCRIPTION The Railroad Commission of Texas has direct oversight of 255,401 miles of intrastate pipelines. The Pipeline Safety Department in the Oversight and Safety Division is seeking an Administrative Assistant to perform complex professional administrative, technical and compliance support for the Commissions statewide Pipeline Safety program. The primary function of this position involves disseminating information, maintaining filing systems, and performing internal administrative support. Assigned tasks involve travel training programs, following guidelines and prioritizing assignments to meet workload performance standards. Work is performed under the general supervision of the PHMSA Operations Analytics Manager. EXAMPLES OF WORK PERFORMED Manages and maintains schedules and travel arrangements for pipeline safety inspectors and managers. Manages and maintains schedules and arrangements for training of inspectors. Prepares and disseminates information concerning travel training programs and procedures. Prepares, edits, and distributes correspondence, reports, forms, and documents. Maintains filing, record-keeping, and records management systems. Compiles and enters data for charts, graphs, databases, summaries, or reports. Responds to high volume inquiry phone calls/emails and state requirements. Maintains detailed updates to travel training program databases. Responsible for specific tasks and special assignments as needed. Completes internet-based data collection, query, entry, and analysis. Maintains high attention to detail while working on multiple reports and inquiries. Process vehicle reports and ensure accurate and timely reporting of time and mileage logs. Maintain fleet vehicle maintenance records, which includes repairs, inspections, and maintenance. Performs detailed and repetitive assignments in recording and allocating money for travel. Assist with processing incoming and outgoing mail. Performs related work as assigned. For Military Crosswalk information, please visit Military Crosswalk for Occupational Category - Administrative Support Qualifications: GENERAL QUALIFICATION GUIDELINES Minimum Qualifications: Graduation from a standard senior high school or G.E.D. equivalent. Ability to work Monday-Friday, 8AM 5PM. Proficiency using MS Word, Excel, Teams and Outlook. 5 years of experience working in a business administration office or professional setting. Preferred Qualifications: 5 years of experience in composing business documents with effective use of grammar, reading and comprehension, and appropriate audience content. Knowledge, Skills, and Abilities: Knowledge of professional protocol. Working knowledge of basic/high-school level mathematics. Working knowledge of teams, excel and power point. Skill in the use of standard office equipment and software. Skill in paying attention to detail and in providing accurate information. Excellent organizational, communication and writing skills. Ability to establish and maintain effective working relationships with others. Ability to exercise tact and courtesy. Ability to prioritize workload or shifting priorities to ensure deadlines are met. Ability to take initiative and work independently. Abil ty to work effectively in a team environment or as a designee team leader. Ability to address issues/concerns in a professional manner. Ability to maintain working relationships with internal/external stakeholders. Ability to respond to high pressure situations and meet changing demands and timelines. Ability to organize, file, record, and retrieve information and data. Ability to maintain punctuality and regular attendance. Ability to maintain a professional appearance and demeanor. Work Hours and Telework:Standard office hours for Commission employees are 8:00 a.m. to 5:00 p.m., Monday through Friday. Our agency offers alternate schedules for employees, as long as it does not adversely affect operations and service levels, and standard hours of operation are maintained. The Commission may also offer telework based on the agencys approved Telework Plan. Alternate work schedules and telework may be discussed with the hiring manager during the interview process.
