Description

As an Administrative Assistant, you will play a crucial role in maintaining a smooth and efficient office environment. You will provide administrative support to various departments, assist in coordinating meetings and events, manage office supplies, and handle incoming calls and correspondence. This position requires strong organizational skills, attention to detail, and the ability to multitask effectively.

Responsibilities:

  • Perform general clerical duties, including photocopying, faxing, scanning, and filing documents.

  • Manage and organize office records, both physical and electronic, ensuring accuracy and confidentiality.

  • Coordinate meetings, appointments, and travel arrangements for company executives and staff.

  • Prepare and distribute internal and external communications, such as memos, emails, and newsletters.

  • Assist in drafting and editing reports, presentations, and other business documents.

  • Maintain inventory of office supplies and place orders as needed.

  • Greet visitors, answer phone calls, and direct inquiries to the appropriate personnel.

  • Assist in coordinating company events, such as meetings, conferences, and team-building activities.

  • Collaborate with other administrative staff to ensure smooth office operations.

  • Handle sensitive and confidential information with discretion and professionalism.

Qualifications:

  • High school diploma or equivalent; associate's degree or relevant certification is a plus.

  • Proven experience as an administrative assistant or in a similar role.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.

  • Excellent communication skills, both written and verbal.

  • Strong organizational and time management skills with the ability to prioritize tasks.

  • Attention to detail and accuracy in data entry and record-keeping.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • Professional demeanor and strong interpersonal skills.

  • Familiarity with basic accounting principles and bookkeeping is desirable but not required.
