The CSU Alumni Associationfacilitates meaningful relationships between its 258,000 living alumni and the University. Using a combination of proven alumni engagement strategies and new, innovative approaches, the Alumni Association strives to celebrate the success of our alumni, build an emotional connection back to the CSU , and help alumni to identify connections that are meaningful to them. In addition, the Association also utilizes the Iris & Michael Smith Alumni Center to serve as a place of pride and home base for alumni when they return to campus as well as a gathering space for alumni and student programs and events.

Position Summary

The Assistant Director of Alumni Engagement is responsible for creating, implementing, and managing meaningful alumni engagement experiences focused on alumni throughout Colorado (excluding Fort Collins). This position is responsible for providing expert guidance and advice on best strategies to utilize events as alumni, member, and donor stewardship opportunities in order to meet unit goals. They will build positive relationships with internal and external partners and create and manage meaningful experiences for alumni that strengthen their relationship with CSU through involvement in events, programs, and related experiences. This position will serve as the main Alumni Association lead and point of contact for Colorado-based (excluding Fort Collins) signature events, member events, and various engagement programs. This position will also infuse diversity, equity, and inclusion into all duties to ensure that constituents of all backgrounds are represented and included.

Required Job Qualifications

  • Bachelor’s degree from an accredited university by employment start date

  • Three years full-time professional experience in event and/or project management

  • Extensive experience in a customer service and/or relationship building role

  • Experience supervising professional staff

  • Ability to travel and work non-standard hours, including early mornings, evenings, and weekends.

  • Ability to lift 25 pounds with or without assistance of equipment (i.e. cart)

  • A demonstrated ability to engage and effectively communicate with diverse audiences and alumni.

  • Must have a valid driver’s license or the ability to obtain a driver’s license or access to a licensed driver by the employment start date

Preferred Job Qualifications

  • Demonstrated ability to manage multiple projects, prioritize work to maximize productivity, and respond effectively to change

  • Knowledge of both rural and metro areas throughout Colorado

  • Experience building constituent engagement through events and programs

  • Experience with identity-based engagement programming

  • Excellent attention to detail, accuracy, and quality in work produced

  • Ability to work independently, and effectively make decisions and problem-solve

  • Demonstrated ability to work as a member of a team and to thrive in a creative, fast-paced environment

  • Strong information technology skills, including Microsoft Office and CRM systems

  • Experience in alumni relations, non-profit associations, or higher education

  • Knowledge of Colorado State University and its Alumni Association

  • Responsible for the strategic planning, execution, and management of a comprehensive engagement plan targeted at alumni that aims to strengthen their relationship with CSU through participation in events, programs, and related experiences. Includes research, analysis, and recommendations to set strategy to meet unit goals.

  • Serve as a representative of the Alumni Association and University while working with individual campus partners, alumni volunteers, and community partners. Provide guidance and expertise for engagement programs to maximize success and create a meaningful experience for alumni, volunteers, and participants.

  • Actively participate in growing membership, license plate sales, sponsorship, and revenue partnerships. All Alumni Association employees share a responsibility to meet and surpass Association revenue goals to support our budget.

  • Understand and apply knowledge of data-driven strategies, including analysis of trends to support decision-making and determination of best return on investment. Monitor trends to increase alumni engagement and make decisions and recommendations to staff and senior leadership for enhancement or changes.

  • One-on-one relationship management with alumni to strengthen their affinity and involvement with the University.

  • Consider diversity, equity, and inclusion in engagement planning and efforts (in both group and one on one settings) to ensure that constituents of all backgrounds are represented and feel included; actively work toward mitigating bias in processes to ensure involvement of diverse constituents.

Duty/Responsibility

  • Serve as an enthusiastic member of the alumni relations team which will develop and create engagement opportunities through delivery of programs and events that serve various segments of the university’s 258,000 alumni and that meet the goals of the Association.

  • Develop, design, and produce all event planning details including but not limited to independently negotiating terms and contracts with vendors for services related to an event, invitation and guest list management, menus, audio visual and facility requirements, event set-up, design and décor, and executing contracts and agreements in accordance with University and State regulations.

  • Work collaboratively with alumni staff, vendors, volunteers, and CSU partners to assess requirements for each event or program experience and provide innovative solutions that will result in a successful project, this includes open and continuous communication to resolve issues and ultimately ensure guest satisfaction.

  • Responsible for risk management assessment in relation to each event to ensure safety and comfort of alumni volunteers and event/program guests.

  • Manage on-site event production, including directing team members and alumni volunteers involved in the production of each event or program.

  • Directs and manages a $110,000 annual budget and delivers all programs outlined in the annual engagement plan that fall under the purview of this role. Makes recommendations to leadership for additional resources when needed.

  • Examine engagement events, programming, and communications with a lens of diversity and inclusion for the audience, ensuring that the event welcomes guests from all backgrounds and is representative of various identities.

  • Manage a portfolio of local, regional, and national programs, various signature events, and comply with university financial policies. Recommend how to increase revenue streams and how funds are directed and facilitate requests for additional funds when needed.
