Orbex Space Executive Assistant in Forres, United Kingdom

As the Executive Assistant to the CEO and Leadership Team at Orbex, you will serve as the primary liaison, providing essential assistance in optimising schedules, managing communications, and offering administrative support to improve the efficiency and effectiveness of our Senior Management daily operations.

Ideally this role will be based in Forres HQ, but for the right person we are open to this role being based in our Office in London (WC1X 8PL)

Orbex is a leading micro-launch company with our Prime vehicle being prepared to launch from our home spaceport, Sutherland Spaceport. We are well placed to be one of the first operational micro-launch companies in Europe with over £103m of project financing secured, a number of customers signed up, our launch licence application submitted, and backing from organisations including UKSA and ESA.

We are a rapidly growing company with staff located between our production and test facilities in Forres, Scotland and Copenhagen, Denmark. Working on cutting-edge advances in rocket fuel technology, Prime’s carbon footprint is up to 96% lower than comparable vehicles, leading to innovations in propulsion and tank structures. A state-of-the-art re-flight system means we can recover and reuse our technology, and innovations in separation mechanisms mean we leave no debris in space.

Having developed in-house production capability, we can 3D print complex engines, produce full-scale carbon composite fuel tanks, and have avionics and software testing labs in both Scotland and Denmark.

Based in Forres, you will be right in the heart of this fast-paced cutting-edge company, gaining a unique insight into what it takes to build a new launch vehicle for a buoyant commercial market.

The Position

Your responsibilities will evolve on a daily basis, requiring you to exercise judgment and proactive decision-making to achieve the best outcomes and meet the needs of our management team.

The role offers the opportunity for you to work in a variety of areas including, but not limited to:

  • Serving as the point of contact, handling inquiries with professionalism and enthusiasm while ensuring confidentiality

  • Arranging travel and accommodation for both inbound and outbound visits for our Leadership and Executive Team

  • Anticipating needs, taking initiative, and communicating effectively with individuals at all levels

  • Efficiently coordinate meetings, events, and communications like weekly Town Halls, internal team meetings and external events

  • Managing schedules with precision for optimal time management, including appointments, meetings, travel arrangements and expenses

  • Managing multiple priorities and calendars effectively, to meet individual requirements

  • Providing general administrative support, including preparing memos, letters, invoices, statements, compilation of slide decks, set up of IT and room, management of invites

  • Distribution list management in conjunction with HR and IT

  • Working with the team on the collation and compilation of various reports (shareholder etc)

  • Responding to general "contact us" queries received via the website/email

  • Collating info for internal comms

Requirements:

  • Proven experience in providing high-level support to senior executives, with a demonstrated ability to thrive in a fast-paced environment

  • Previous experience working within an administrative background or as an Executive Assistant or Personal Assistant

  • Exceptional organisational skills and meticulous attention to detail, with a proven track record of multitasking

  • Experience working with complex diaries, management organisations, and traveling booking arrangements

  • Excellent written and oral communication skills, with experience at C-suite level

  • Working knowledge and expert proficiency in Microsoft Applications covering PowerPoint, Word, and Excel.

Location

Security

You must be a UK or European citizen or from a country that is a signatory to the MTCR convention. You may be required to undergo a UK BPSS check which includes a criminal record check.
