Robert Half Administrative Assistant in Florence, Massachusetts

Description We are offering a contract to permanent opportunity for a Property Administrator in the non-profit industry, based in Florence, Massachusetts. This role involves providing high-quality administrative support for residential, commercial, and community association properties. The position is integral to the smooth running of our operations, and the successful candidate will be responsible for a variety of tasks including handling tenant applications, leases, contracts, and engaging with prospective tenants.

Responsibilities:

• Support property managers in administrative tasks for various types of properties

• Collect monthly fees and rent from tenants

• Ensure compliance with insurance requirements

• Assist in the preparation of budgets, financial documents, and other reports

• Handle tenant applications, leases, and contracts effectively and professionally

• Engage with prospective tenants to review leases, terms of occupancy, and property ownership

• Organize property maintenance and landscaping repairs

• Utilize Spanish language skills for translation and administrative assistance when required

• Operate a multi-line phone system and handle inbound calls professionally

• Use Microsoft Office Suites, especially Excel, Word, and Outlook, to handle work orders and manage rental properties. Requirements • Must possess at least 1 year of experience in property administration or a related field

• Proficiency in Spanish language and Spanish translation is required

• Solid administrative assistance skills, including receptionist duties

• Experience with answering multi-line phone systems and handling inbound calls

• Proficient in Microsoft Office Suites, specifically Microsoft Excel, Microsoft Word, and Microsoft Outlook

• Demonstrated ability to manage work orders efficiently

• Prior experience with rental properties is preferred

• Excellent communication, organizational, and multitasking skills

• Strong attention to detail and ability to work under pressure

• Must demonstrate a high level of professionalism and integrity

• Demonstrated ability to work independently and as part of a team.
