Job Summary
The Administrative Assistant position provides administrative support to the Property Manager and exceptional customer service to tenants and guests of the Northbank Center. The Administrative Assistant reports to the Property Manager.
Responsibilities*
- Fields tenant requests and phone calls
- Greets guests and visitors to the floor and provides direction
- Coordinate conference room scheduling, use and billing
- Process rental payments and conducting monthly invoicing
- Assist monthly parking payment reconciliation
- Assist with regular audits of building and parking ramp access controls and assignments
- Coordinate with building security and maintenance to serve the building and its occupants
- Conduct regular walkthroughs of the building to assess maintenance issues and coordinates with appropriate personnel
- Track and follow up regarding Facilities Management, Department of Public Safety and Information Technology Services work orders
- Departmental process and procedure development, maintenance and improvement
- Maintain building directories, admittance lists, key inventory, and email lists
- Create and assign access cards and keys
- Maintain break room, coffee and water services, orders and stocks office and break room supplies
- Be an emergency responder and maintain AED/CPR and First Aid certifications
- Use Yardi Property Management online interface to track billing and lease information
- Use Team Dynamix for internal ticket tracking and customer communication
- Use S2 and Milestone Software to maintain a secure environment
- Maintain webpage and social media accounts
- Maintain database of space assignments and update floor plans
- During construction and renovation projects, assists with the management of internal requirements and coordinates with facilities and building personnel to ensure as little disruption as possible to building occupants
- Be the initial contact for all requests for cleaning, furniture repairs, kitchen problems.
- Manage property disposition processes.
- Assist the Property Manager with building leases, marketing and providing tours and documents to potential tenants.
- Serve as a liaison with facilities and building groups and serves as departmental first point of contact for all facilities issues.
Required Qualifications*
- High school diploma or equivalent
- 4 or more years of administrative office experience
- 2 or more years of customer service experience
- Knowledge of Facility Management, Property Management, space planning, or space management is necessary.
Desired Qualifications
- Experience with Microsoft Office Suite, Yardi, Event Management Software (EMS), Google Mail and Google Drive.
- Experience working in a law office environment, with government contracts, or food service management
- Associates or higher degree in Business, Facilities Management, or related field.
