Special Information

  • This position is an on-site position which requires the incumbent to complete their work primarily at the Flagstaff Mountain campus with or without accommodation. Opportunities for remote work are rare.
  • This position is posted as Patient Services Administrative Assistant, which is a working title. The NAU system title for this position is Administrative Services Assistant.
  • Two (2) positions are available.

Job Description

Performs varied advanced administrative work unique to the work unit requiring initiative and independent judgment. Incumbents work independently under general direction. Keeps official records and recommends administrative policies. Handles problems and non-routine situations by determining the approach or action to take and interprets guidelines, procedures, policies and practices. Ability to work as a team player in a fast-paced environment. Incumbents may have contact with high level administrative offices requiring use of business vocabulary, tact, discretion and judgment. This position reports to the Patient Services Manager.

Patient Registration - 55%

  • Schedule patient appointments for Campus Health Services.
  • Assist patients with check-in and completing appropriate paperwork.
  • Update confidential patient information.
  • Verify accuracy of patient\'s insurance information and enter in patient chart.
  • Enroll students into Louie Care and Student health insurance.
  • Assist patients with check-out and appropriate payment.
  • Assist in scheduling patients who may be walking-in for a same-day appointments or urgent care clinic.

Customer Service - 35%

  • Maintain superior customer service skills.
  • Screen telephone calls for Campus Health Services to include documenting messages accurately in the electronic health record.
  • Receive and post payments.
  • Provide parking access to patients.
  • Handle customer queries.

Administrative Support - 5%

  • Receive, sort and distribute mail.
  • Receive, sort and distribute incoming faxes.
  • Train new staff and student workers.
  • Responsible for maintenance of office equipment.
  • Provide support to staff as directed.

Other - 5%

  • Perform other duties as assigned.

Minimum Qualifications

  • High School Degree OR
  • Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.

Preferred Qualifications

  • Four years of increasingly responsible office/administrative experience.
  • Experience in a medical setting.

  • Knowledge of policies, practices, procedures and terminology of assigned functions.
  • Skill in developing and maintaining good working relationships.
  • Skill in both oral and written communication.
  • Skill in operation of a variety of office machines.
  • Ability to problem solve and make decisions.
  • Ability to multi-task.
  • Ability to work effectively with people from a variety of culturally diverse backgrounds.

Background Information

This position has b en identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting.
