Job Summary:

The Project Administrator will play a key role in supporting the successful execution of HVAC projects. This individual will be responsible for coordinating administrative activities, maintaining project schedules, managing procurement processes, and ensuring clear communication across teams. The role requires excellent organizational skills, attention to detail, and the ability to thrive in a fast-paced environment.

Key Responsibilities:

Assist project managers in planning and coordinating HVAC projects from initiation to completion.

Track and maintain project schedules, budgets, and milestones, ensuring deadlines are met.

Manage and organize project documentation, including contracts, permits, change orders, and progress reports.

Serve as a liaison between internal teams, clients, and subcontractors to ensure smooth communication and resolve any administrative issues.

Prepare and distribute project status reports and updates to stakeholders.

Monitor compliance with company and client standards, ensuring all project activities adhere to legal and safety requirements.

Material and Procurement Management:

Coordinate the procurement of materials, equipment, and services necessary for HVAC project execution.

Maintain a detailed inventory of project materials and ensure timely delivery to meet project deadlines.

Communicate with vendors and suppliers to obtain quotes, negotiate pricing, and ensure accuracy in orders.

Track purchase orders and invoices, ensuring alignment with budget requirements.

Proactively identify and mitigate potential procurement risks, such as supply chain delays or material shortages.

Develop and maintain strong relationships with suppliers to support long-term partnerships and reliability.

Pay and Benefits

The pay range for this position is $20.00 - $25.00/hr.
