Child & Family Service Donor Relations Specialist - Office of Advancement (Full-Time) in Ewa Beach, Hawaii

SUMMARY OF DUTIES

  • The Donor Relations Specialist is a vital member of the Office of Advancement. In this fast-paced environment, the Donor Relations Specialist will help ensure best practices for gift processing are implemented, maintain compliance by providing tax receipts and thank you documents in a timely manner, and manage the organizations donor database. The Donor Relations Specialist will utilize deductive reasoning and other structured problem-solving techniques to successfully complete assigned duties. Primary responsibilities include, but are not limited to:
    • Helps to maintain all aspects of the organization's donor database including code tables, admin, configuration, campaigns, funds, appeals, letters, gift batches, reports, query, import/exports, and receipting
    • Helps train users in the donor database software
    • Tracks and meets deadlines related to data entry, prospect research, solicitations, and reporting
    • Is a member of the gift processing team which is responsible for counting and recording donations accurately and per applicable laws, rules and regulations
    • Generates and verifies the accuracy of receipts
    • Drafts, edits, and generates thank you letters, pledge reminders, reports, recognition lists, gift agreements, pledge forms, and online donation forms
    • Creates and manages online donation forms
    • Maintains the organizations donor mail and email lists
    • Reconciles all gift records and relevant donor information
    • Creates, compiles, and generates daily, weekly, monthly, quarterly, and annual reports
    • Ensures the proper maintenance and upkeep of donor records including conducting regular quality audits
    • Conducts donor and prospect research
    • Data entry
    • Other related tasks as necessary
  • Data to complete these tasks will be gathered from various sources including, mail, email, online sources, and verbal communication. The use of a customized donor database, other proprietary software, and the Microsoft office suite, particularly Excel, Word, and Outlook will often be required to complete these duties. Tasks will require working both individually and in a team. Candidates must be available during regular organizational operating hours, must demonstrate consistent regular and predictable attendance, and may be periodically required to work additional hours, including nights and weekends as needed.

EDUCATION AND TRAINING REQUIREMENTS

  • High school, plus additional courses or specialized training at business or community college, or other form l training facility or program. Requires ability to understand and carry out assigned duties effectively. Knowledge needed such as stenography, office routines, elementary accounting procedures; operation of equipment such as bookkeeping and billing machines, tabulating equipment, transcription machines.
  • Other (Specify): Bachelor's Degree preferred

EXPERIENCE

  • Over two years, up to and including four years.

SPECIAL KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED

  • Prior database management experience preferred
  • Expertise in Microsoft Office 365 Programs especially Word, Excel, and Outlook
  • Proficient in the use of Excel formulas, tables/pivot tables, and charts for data reporting
  • Proficiency in using Windows 10 (or later versions)
  • Business writing skills required
  • Cash handling experience
  • Ability to type 35+ words per minute
  • 10 key by touch
  • Keen attention to detail
  • Ability to switch between tasks as priorities change while ensuring all assigned projects are completed accurately and on time
  • Comfortable working with a computer for extended periods
  • Ability to work and focus in an open office layout
  • Must maintain confidentiality at all times
  • Comfortable with basic algebra and percentages
  • Must use deductive reasoning and other structured problem-solving techniques to identify solutions
  • Must be comfortable making and receiving phone calls including using discernment and tact when responding during conversations

OTHER POSITION REQUIREMENTS

  • This job requires a valid Hawaii driver's license, a clear driver's abstract, and willingness to travel in personal vehicle on an asneeded basis throughout the island.
  • This position is subject to a criminal background investigation and continued employment is contingent on a record clear of convictions.
  • Regular contact with subordinates, other departments, and persons and organizations outside the organization to supply or seek information and reports. Requires use of tact and discretion. May present data and reports at meeting.
