Position Description:

Coordinates a section in a department that has institutional oversight responsibilities. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program or departmental project as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and/or students.

Major/Essential Functions:

  • Coordinates all travel arrangements and reimbursements for the Office of the President.

  • Coordinates institutional events on behalf of the President to include communications, timelines, and scheduling, may collaborate with Institutional Advancement on some events.

  • Assists the Assistant to the President with coordination of project workflow and communications, project management, and coordination of activities/events.

  • Manages all financial transactions relative to direct pays and purchase orders for activities related to operations for the Office of the President. Creates monthly expense reports for the President and administrative staff and keeps within specified budget.

  • Coordinates logistical support for meetings and functions, i.e. if A/V support required for events and educational activities, providing support by reserving rooms, submitting facilities and A/V equipment work orders and manage the catering for all meetings/events.

  • Serve as a shopper on TechBuy for departmental supplies and equipment.

  • Coordinates yearly inventory certification using the Property Management Inventory System by ensuring that all equipment is tagged, verified and confirmed

  • Build, foster and maintain professional collaborations/relationships with staff, faculty, students, and visitors to provide support and excellent customer service.

  • Flexible/adaptive assumption of ad hoc short-term responsibilities and special projects related to the Executive Office Supports administrative functions and operations for the Executive Office.

  • Adhere to all TTUHSCEP policies, procedures and processes.

  • Personally demonstrate, display, and act in accordance with TTUHSCEP’s values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Actively promote and encourage staff across the institution.

  • Perform all other duties as assigned.

Preferred Qualifications:

  • 4 to 5 years experience in an institution of higher learning; Job related education may substitute for part of the required experience.

  • Handles administrative details independently and effectively.

  • Works under the stress of deadlines.

  • Coordinates work effectively and maintains effective working relationships with employees while exercising a high degree of confidentiality.

  • Must be a self-starter and possess an initiative to acquire knowledge necessary in fulfillment of assigned duties.

  • Knowledge of state and institutional policies and procedures.
