Position Summary

This position serves in the high-energy, busy main office of the Department of Advertising & Public Relations, which provides dynamic support to faculty, staff, and students. As the department office support, you will perform a wide range of duties including general office support, direct support to the department chairperson, and event coordination. As direct support to the department chairperson, and primary support to the department of Advertising and Public Relations, you will be a part of an inclusive work environment that promotes and supports collaboration and a positive work environment.

Responsibilities include but are not limited to;

  • Provides administrative support to faculty, academic staff, students, visiting scholars and guests including; travel arrangements (process travel forms, book flights, etc.), coordinate guest speakers, ordering supplies for faculty members, for set up and minutes of the department faculty meetings and ordering food.
  • Processes student hires and termination.
  • Supervises student workers.
  • Advises department employees on policies and processes.
  • Coordinate department office space; assignments, renovations and maintenance.
  • Coordinate meetings and manages chairs calendar
  • Works with the chair regarding the Reappointment Promotion and Tenure (RPT) process for the department
  • Liaison between chair and professional work groups such as Professional Advisory Board (PAB) and Women in Communications (WAC) Mentoring organization.
  • Manages chair travel and expense reimbursements
  • Plans, prepares and executes department events such as Annual Faculty Retreat, Student Awards Ceremony and retirement parties.

*This position is mostly an in-office position, Monday through Friday 8-5pm. There is opportunity for an occasional hybrid working arrangement on a case-by-case basis and determined by the organization (chairperson and/or direct supervisor). *

Unit Specific Education/Experience/Skills

Knowledge normally acquired through a high school education; three to five years of related and progressively more responsible or expansive work experience in word processing, spreadsheet, database and/or desktop publishing software; presentation and webpage software; typing and filing; maintaining accounting ledgers; may require knowledge of technical or medical terminology and/or technical knowledge or training related to the field of employment; or an equivalent combination of education and experience.

  • Knowledge of university policies and procedures
  • Ability to work in-person during normal working hours, 8-5 M-F.
  • Ability to collaborate and work effectively with a team.
  • Excellent interpersonal skills, face-to-face, on the phone and online
  • Attention to detail
  • Ability to recognize needs and willingness to take on responsibilities necessary to ensure the effective operation of the department
  • Evidence of effective personnel interaction when working with people with diverse backgrounds and skill sets
