Job Description

Job Summary:

Performs administrative and office support activities for Teledyne management and staff to ensure smooth office operations and personnel support.

Essential Duties and Responsibilities:

  • Provides support in procurement and acquisition of office supplies

  • Purchasing - both online credit card and submit and manage purchase requests

  • Manage shipping and receiving

  • Expense authorization and reports

  • Maintain office and café supplies

  • Process building maintenance and other service requests

  • Interfaces with managers and various department admins

  • Ensures meetings run smoothly by preparing room/office reservations and catering services

  • Acts as a support to other administrative personnel as needed

  • Collaborates with Human Resources in scheduling applicant interviews as needed

  • Frequently works with Enterprise Resource Planning (ERP) systems for tracking and reporting of data

  • Coordinates travel arrangements and completes Travel Authorizations and Expense Reports

  • Processes Labor Transfer requests

  • Stretch goals include supporting activities in program management and marketing

Qualifications & Competencies

Skills/Experience:

  • Excellent analytical, problem solving and decision making skills

  • Must be assertive, highly organized and detail-oriented

  • Patient team player with effective interpersonal skills

  • Excellent written and verbal communication skills

  • Advanced computer proficiency using Windows and Microsoft Office Suite (Excel, Word, PowerPoint)

  • Proficiency using MS Project a plus

  • Displays exemplary ethics and business conduct and performs work cognizant of safe work practices

Education and Experience:

  • Bachelor’s Degree in Administration, Marketing or related field

  • Minimum of four (4) years of related Administrative experience

Citizenship & Security Clearance:

  • Candidates are required to be U.S. Citizens
