Position Overview

Primary Function of Organizational Unit

The Office of the Dean is responsible for the general administration of the College of Arts, Social Sciences, and Humanities which includes student and faculty administration. The Office’s primary goals are to ensure the recruitment, enrollment, retention, graduation and placement of students who major in the arts, humanities, and social sciences disciplines. The Office of the Dean plays a critical role in meeting goals associated with student success in the strategic plans of Academic Affairs, the University, and UNC General Administration. Subsequently, the EA position is paramount to ensuring administrative efficiency that has a significant impact on maintaining an environment that promotes effective teaching and learning and overall student success.

Primary Purpose of Position

The Executive Assistant to the Dean of College of Art Social Sciences, and Humanities serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Dean. This position will be the liaison to the CAS Advisory Board, department chairs, program directors, the NCCU Administration, and UNC General Administration. The position will serve on the APC and Chair’s Management Council Meetings. Will be responsible for serving on committees on the Dean’s behalf. The position is responsible for the daily administrative management of the Office of the Dean which includes office coordination, supervising appropriate staff, budget monitoring and management (purchasing and budget), planning and organizing special events including conferences and retreats. faculty professional development (RPT), program academic assessment, advising of students, managing the dean’s calendar, and assisting the dean with a variety of requests and issues. Position must be able to be a team lead for administrative assistant in all budgetary matters under the direction of the Business Officer and the Dean. Must be an expert in matters as it relates to Purchasing, Travel, Accounts Payable, and Budget Management of the Dean’s Budget. Expected to plan and execute what the needs are of the Dean’s Office as it relates to the daily operations.

Required Knowledge, Skills, and Abilities

The successful candidate must possess a working knowledge of Banner Finance, Chrome River or an equivalent system, and Eagle’s Purchase or an equivalent system; expert knowledge of Microsoft Office (Word, Excel, PowerPoint, and Access) Applications; knowledge of budget management; knowledge of record management; ability to work independently with little or no supervision; to take initiative to see projects and assignments through to completion; to exercise judgment and discretion in problem solving; excellent analytical skills along with written and oral communication skills; excellent editing skills; great interpersonal skills to interact effectively and diplomatically with a wide range of individuals in a high pressure environment. Prefer an Associates or Bachelor’s degree.

Minimum Education/Experience

High School diploma or equivalency and three years of progressively responsible administrative/office management experience; or graduation with an associate’s degree in Secretarial Science, Business Administration, or a related discipline and one year of progressively responsible administrative/office management experience; or bachelor’s degree, preferably in Business Administration or a related discipline; or equivalent combination of training and experience..All degrees must be received from appropriately accredited institutions.

Efficient written communication is needed in planning projects, composition of the minutes, reports, and record keeping.

Duties

Information and record management for this position include maintaining financial records, weekly departmental meetings, the student handbook, programs learning outcomes and students learning outcomes, class schedules, curricula, productions, student, faculty, and staff records, public relations information, and equipment inventory.

Required Competency Budgeting

Duties

The duties of budgeting include the execution of all budget submissions; maintaining budgeting policies and procedures, and monitoring the budget using online applications, e.g., Banner, Eagle’s Purchase, and Chrome River.
