Southland Industries Project Coordinator - Service and Special Projects in Dulles, Virginia

POSITION SUMMARY

We have an exciting opportunity for a Service and Special Project Coordinator (“PC”) to work on world-class projects with a best-in-class team that serves D.C. Metropolitan Area.

This is an onsite position for the Project Coordinator role, which is located at an office in Dulles, VA. The Project Coordinator will work closely with Service, Project Managers, Project Engineers, as well as Superintendents and General Foreman in the process of performing his/her duties and will report to the Administrative Services Manager but will work closely with the Service and Special Project Managers for day-to-day direction. The Project Coordinator is responsible for providing support to project teams. This may include data entry, reporting, and general office and administration duties to support both job sites and main office activities.

What you’ll do:

  • Vendor Set Up/Credit Applications

  • New Customer Setup

  • COINS (ERP system) data entry and reporting – book quoted service order, enter budget, change orders, subcontract agreements, subcontract change orders, and job cost reports.

  • Assembles and tracks subcontracts, change orders, insurance certificates, billings, lien releases, and certified payroll from subcontractors.

  • Prepares and submits monthly project billings with all required supporting documentation according to contract requirements.

  • Follows up with clients regarding outstanding A/R.

  • Process reimbursements for employees.

  • Issue and tracks purchase orders, material arrival dates and receives material in web-based purchasing database.

  • Archives files and drawings.

  • Project closeout – billing, archive files and drawings, upload documentation, share lessons learned.

  • Collects and reviews timecards for union personnel.

  • Assists Project Managers in tracking and creating daily field reports.

  • Gathers and submits to customer specific contractual requirements (i.e. business licenses, contractor’s license, certificate of insurance, emergency phone list and gather from other departments - safety program, drug awareness program, MSDS sheets for Jobsite)

  • Analyzes open cost commitments and follows up with subcontractors and vendors to ensure no further costs are owed before the closing project.

  • Various other tasks as required by the project team.

What you’ll need to be successful:

  • Strong verbal and written communication skills

  • Ability to set priorities and multi-task

  • Competent analytical skills

  • You have excellent customer service skills.

  • You can write routine reports and correspondence

  • Proficient in Excel

  • Excellent communication, writing and organizational skills

  • Critical reasoning, good work ethics and flexibility

What you bring to the table:

  • Associate degree (AA) preferred or minimum 2 years of related experience.
