Facilities Specialist (f/m/d)

Job Description

Health & Safety Coordination

  • Be part of the Health and Safety Team and exercise Health and Safety tasks in close cooperation with the local H+S Team (internal lead and external service providers for medical services and H+S officer)

  • Organize risk assessments and site inspections including coordinating working on continuous improvements and resolving findings of those inspections

  • Organize evacuation exercises and assure enough fire marshals and evacuation assistants are trained proved

  • Organize law required medical services and assure waterproof documentation

  • Provision of appropriate documentation to demonstrate compliance with Health & Safety legislation and company policies.

  • Coordinate and support with BCP activities

  • Support internal and external audits

Facilities Coordination

  • Liaising with the Senior Facilities Manager Europe, Landlord, contractors and service providers (Security, utilities, air conditioning, etc), managing the relationships and conducting regular reviews ensuring service delivery meets business requirements.

  • Support with end-to-end management of contracts with external providers including preparing documents for tenders, obtaining quotes, assessing costs for goods and services to ensure maximum value for money, through to project management, ensuring appropriate legal documentation is obtained, co-ordination of work of contractors and service providers, and checking that agreed work by contractors has been completed satisfactorily and any deficiencies are followed up and resolved. Responding appropriately to emergencies and urgent issues as they arise

  • Monitor working environment and liaise with colleagues & suppliers to ensure it is maintained to a pleasant and professional standard, arranging for repairs etc. as appropriate

  • Ensure any statutory testing takes place on time, and keeping relevant records

  • Assist with project management of any planned expansion (or reduction) of the facilities, pro-actively planning & implementing these strategies, demonstrating appropriate discretion & confidentiality when required, liaising with specialist contractors and suppliers to ensure overall goals are achieved.

  • Ensuring appropriate employee communication on buildings issues or works is completed.

General Administration

  • To provide administrative support to the Senior Facilities Manager Europe

  • To maintain supplier set-up

  • Provide a customer facing approach to all enquiries at the office, often as the first point of contact for visitors

  • To provide financial administration of the accounts system, raising Purchase Orders and dealing with urgent invoices etc to progress for payment.

  • Facilitating DHL and other courier services.

  • Manage the office to ensure stationary, equipment, meeting rooms and the environment meet the needs of the users.

  • Any ad hoc tasks as deemed reasonable by your Manager

Qualifications

  • 3 to 5 years of experience in facilities coordination, health & safety regulations, administration or similar fields

  • Business Administration or BIFM qualification in administration or other related subject or relevant demonstrable experience to NVQ level 4 is desired

  • Strong German and English communication skills, both verbal and written.

  • IOSH Managing Safely certificate is advantageous

  • Proven administrative skills with experience of office organization

  • Demonstrable competence with interface of local IT, Word, Excel and Access packages

  • Numerate with experience of monitoring and managing invoices via Excel

  • Excellent problem-solving skills and the ability to manage difficult situations using a solution focused approach

  • Strong customer relations skills and an ability to integrate with a diverse and changing environment

  • Strong organizational skills - an ability to work without close supervision

  • Team-player mindset, enthusiastic, positive, open-minded approach to challenges

  • Ability to demonstrate utmost discretion when dealing with all sensitive and confidential information

  • Ability to multi-task in a fast-moving environment
