Job Summary:

The Administrative Coordinator, IS role is a nontechnical position, primarily focused withassisting in the creation, monitoring, and analyzing of short andlong-term financial objectives by overseeing budget amendments, and forecastingand analyzing monthly budget variances. Additionally, the administrativecoordinator will ensure customer service is timely and in line withexpectations by developing reports on productivity and ensuring compliance withpublished service level objectives. Lastly, the IT coordinator will engage inproject coordination by preparing comprehensive project plans, includingresources, timeframes, and budgets, and time-tracking for projects.

Key Responsibilities:

  • Evaluate suppliers/resellers to achieve cost-effective deals and maintain trust relationships.
  • Manage monthly, quarterly, and annual budgets.
  • Prepare budget reports comparing budgets and expenditures throughout any given period.
  • Identify and eliminate budget variances.
  • Estimating and forecasting future financial needs.
  • Manage and ensure department licensing, support and maintenance contracts are current.
  • Reviewing contracts, quotes, and invoices for completeness and accuracy.
  • Collaborating with project managers to develop budgets.
  • Develop daily, weekly, and monthly reports on the helpdesk team’s productivity.
  • Ensure monthly, quarterly, and annual tasks are completed on time.
  • Assist in inventory management by ensuring inventory levels are adequate for business needs.
  • Place orders to replenish stock avoiding insufficiencies or excessive surplus
  • Manages ticket assignments and escalations, agent queues, first response times, and reply times to ensure communication is consistent with defined service level objectives.
  • Provides assistance and coordination on client questions, problems, or malfunctions of all systems applications, hardware, and software installed and maintained by the company.
  • Other duties and special projects as assigned.

Required Education, Knowledge, Skills and Abilities:

  • Associate’s degree required; Bachelor’s degree preferred.
  • Strong financial analytical skills, good judgment, proven problem-solving abilities.
  • Strong organizational and time magement skills.
  • Good written and oral communication.
  • Customer Service & Interpersonal Skills are essential.
  • Proficient in Microsoft Excel
  • Must satisfactorily pass the EMC’s employment physical examination, required drug screen and criminal background check.

Physical Demands (if applicable):

• General office environment.

• Requires sitting at desk using a computer most of the day.

• Occasionally required to move machines, printer paper, and printed material.

• Required to provide on-call support.

• Must be able to report to work in disaster situations
