JOB TITLE: Public Relations Coordinator

DEPARTMENT: Marketing & Communications

REPORTS TO: Director, Marketing and Communications

CLASSIFICATION: Full-time, Exempt

REMOTE WORK ELIGIBILITY : Partial

GENERAL SUMMARY

Under the supervision of the Director, Marketing and Communications , t he Public Relations Coordinator will partner with the Manager, Media Relations to coordinate with internal stakeholders and members of the media to share information about the museum to media outlets and respond to incoming media requests .

ESSENTIAL FUNCTIONS

  • Coordinate incoming media requests, including on-site editorial shoots, media events, responding to inquiries, and press releases.

  • Write press releases and media alerts for public programs, events, and museum news.

  • Provide on-site support for journalist visits, photographers, videographers, live media coverage, social media content creation, media events for major exhibitions and events, and press conferences .

  • P roactively en gage with museum colleagues and external stakeholders to gather

  • information to share with the public in alignment with the media relations strategy .

  • I dentify methods for the museum to engage with regional media outside of press releases and media requests in alignment with the Media Relations strategy .

  • Serve as the liaison between Public Affairs and Community Engagement, external contractors and Marketing and Communications, including attending planning meetings and coordinating necessary follow-up.

  • Conduct calls to media for follow-up on stories.

  • Maintain and update media lists.

  • Apply DIA values to interactions to support a culture of belonging among internal and external stakeholders.

  • Perform other duties as assigned.  

    QUALIFICATIONS

    EDUCATION AND EXPERIENCE

    Bachelor’s degree in public relations, marketing, communications, or related field required . Three ( 3 ) years of experience in journalism, public relations, media relations or government affairs . Additional years of experience can be substituted for educational requirement.

    KNOWLEDGE, SKILLS, AND ABILITIES

  • Demonstrated collaboration skills to work across departments and divisions internally and with diverse stakeholders externally.

  • Demonstrated organizational skills to plan, manage, prioritize, and complete multiple on-going projects to meet deadlines and goals.

  • Ability to complete with and manage relationships with external vendors.

  • Demonstrated ability to share complex information, ideas, and instructions clearly, effectively, and professionally to diverse audiences through talking or writing.

  • Demonstrated ability to work with attention to detail and produce accurate results .

  • Working knowledge of writing and editing, familiarity with AP Style preferred.

  • Must have solid office administration skills, including ability to maintain files and keep items in a logical and organized manner and operate most office equipment.

  • Must possess a demonstrated understanding of ethical business conduct and professional practices including maintenance and protection of confidential and sensitive information.

  • Ability to work occasional weekend and evening hours for special events .

  • Must be proficient in the latest version of Microsoft Office 365.

  • Must have proficiency in the use of remote work technology such as scheduling with, connecting to, and using digital collaboration platforms such as Microsoft Teams.

  • Must be able to establish and maintain professional, productive, and courteous interactions that promote positive teamwork . This encompasses going beyond giving and receiving instructions and includes but is not limited to (a) performing work activities requiring interacting or speaking with others; and (b) responding appropriately to constructive feedback or suggestions for improvement from a supervisor .
