Job Description

This is a non-merit position with the Iowa Finance Authority. Candidates must follow the instructions in the "To Apply" section.

Positions in this class are exempt from the screening and referral requirements of the Iowa Department of Administrative Services - Human Resources Enterprise.

Are you detail-oriented, organized, and passionate about supporting legal and legislative processes? Join our dynamic team at IEDA | IFA as a Legal Assistant, where you will play a crucial role in assisting our Attorneys, Legislative Liaisons, and Director with specialized, professional work.

Key Responsibilities:

Legal and Legislative Support:

  • Receive, organize, and process open records requests; assist legal counsel with gathering requested records.

  • Proofread, edit, and format documents.

  • Monitor, track, manage, and submit required reports.

  • Scan, organize, prepare, and maintain paper and electronic documents related to contract management and state/federal regulations.

  • Monitor bills impacting IEDA and IFA programs; manage legislative liaison calendars.

  • Assess the impact of newly enacted legislation and rules on IEDA and IFA programs.

  • Assist with monitoring program rules for consistency with legislative changes and agency policies.

  • Prepare and assemble confidential information for contract negotiations and appeals.

  • Gather information and prepare summaries for the Director, Chief Strategic Communications Officer, and legal counsel.

  • Prepare draft reports, letters, emails, and guidance regarding IEDA and IFA programs.

IFA Board Administration:

  • Serve as IFA Board Administrator; manage logistics for board meetings and board members.

The Legal Assistant position is a non-merit, non-contract covered position that is classified by the State of Iowa as an Administrative Assistant 2. This position is non-exempt (hourly) per FLSA regulations.

Minimum Qualification Requirements

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

  • Graduation from an accredited four-year college or university with a bachelor's degree in any field, and experience equal to one year of full-time administrative support (e.g., screening visitors and callers; opening/distributing mail, typing/proofing documents, letters, and reports; organizing files; scheduling meetings/appointments; arranging travel; processing travel claims; ordering supplies/equipment) or technical support work (e.g., determining budget, personnel, and equipment needs; compiling/evaluating statistical, historical, economic, business, financial or technical program data; interpreting or securing compliance with laws, rules and regulations; reviewing operating records/reports and evaluating their effectiveness).

  • A total of five years of education and/or full-time experience (as described in number one) where thirty semester hours of accredited college or university course work in any field equals one year of full-time experience.

  • Current, continuous experience in the state executive branch that includes experience equal to 12 months of full-time work as an Administrative Assistant 1.
