Job Summary:

Drake University's Law School is seeking a Records & Registration Specialist. This role serves as an administrative staff member in the Dean’s office and reports to the Associate Dean for Academic Affairs.

The Records & Registration Specialist is responsible for supporting the program of legal education, as required by accrediting bodies, and is responsible for managing records of student information and assisting with the student experience.

The Records & Registration Specialist must demonstrate ability to work within accreditation and system structures, pay great attention to detail to maintain accuracy and efficiency, embrace technology to streamline and advance processes, and work collaboratively with a variety of stakeholders.

The Records & Registration Specialist must demonstrate strong leadership skills consistent with the academic goals and mission of the Law School and leverage best practices to provide a student-centered approach, emphasizing exemplary service to all constituents.

Qualifications:

• Bachelor’s Degree required

• 2 years of related experience

• Knowledge of the processes and procedures associated with the registrar functions

• Great attention to detail and ability to think critically

• Ability to work with large amounts of data and create reports

• Excellent interpersonal/human relations skills & verbal and written communication skills

• Experience with the Microsoft Office suite of products

Core Job Duties:

Registration, Class Schedules & Catalog (20%)

  • Prepare registration materials for distribution to all students.

  • Provide schedules to faculty and adjunct faculty for review prior to entry into CourseLeaf.

  • Register students and answer student questions via phone, email, and in-person and assign classrooms for law school courses. Prepare/submit student cancellations/withdrawals.

  • Update School of Law Catalog. Communicate with Budget and Office Manager on every schedule change.

  • Prepare all paperwork on student withdrawals, transfer students, and credit transfers.

  • Certify requirements are met for certification and bar applications.

  • Track course enrollment to ensure graduation requirements are satisfied.

  • Communicate with multiple departments to track dual-degree and graduate level degree students. - (Essential)

Exams & Reports (20%)

  • Performs/coordinates all exam processes.

  • Prepares exam schedules, signage, and makeup exam paperwork;

  • Utilizes exam software to create exams.

  • Assists in administering all exams and prints all essays before returning to professors.

  • Coordinates the collection of all grades from professors.

  • Respond to requests for student enrollment and data.

  • Prepare reports and information for annual ABA report, US News

  • Maintains and updates handbook changes

  • Maintains and updates student files - (Essential)

Correspondence (20%)

  • Prepare/coordinate law school correspondence, including dean’s list letters, awards and notifications, and good standing and rank letters.

  • Respond to phone calls, emails, and in-person queries from students, alum, faculty, and staff. - (Essential)

Degree and Certificate Audits and Graduation (20%)

  • Ensures that students have completed degree and certificate requirements.

  • Prepare graduation rosters for faculty approval and for commencement.

  • Oversee law school graduation. - (Essential)

Grades and Class Ranks (20%)

  • Perform/coordinate all processes related to collecting and entering final grades, calculating class ranks, and preparing grade summary reports. Perform graduation audits and certify graduating seniors. - (Essential)
