Primary Health Care Bilingual Clinic Office Specialist I - University Dental Clinic in Des Moines, Iowa

Primary Health Care (PHC) was founded in 1981 by Dr. Bery Engebretsen in Des Moines, IA. Our mission has remained unchanged since that time, to provide healthcare and supportive services to all, regardless of insurance, immigration status, or ability to pay.

Based on the needs of the communities we serve, PHC offers a spectrum of medical and dental services including family practice, behavioral health, HIV care and services, and pharmacy. PHC’s Homeless Support Services is the entry point for serving people experiencing homelessness in Polk County. Enabling services are available to help patients with benefits enrollment, case management, transportation, translation, and patient education. We currently have locations in Ames, Des Moines, & Marshalltown.

As a Clinic Office Specialist I you will be responsible for providing excellent customer service in PHC medical or dental clinics while delivering quality patient registration, scheduling, and payment handling processes. You will coordinate with PHC team members to provide positive service experiences for patients.

This is a full time position that typically works 40 hours per week, Monday - Friday 8 AM - 5 PM.

What You Will Do

  • Actively monitors patient schedules in the medical or dental scheduling system to ensure optimization:

  • Accurately schedules patient appointments for medical or dental clinics. Proactively identifies and corrects inaccuracies.

  • Contacts patients due for recalls to assist in filling the schedule.

  • Offers appropriate resources to assist patients in overcoming barriers in making or keeping their appointment (e.g., telehealth, referral to family support workers).

  • Ensures a consistent revenue cycle process in a medical or dental clinic:

  • Completes accurate registration per the medical or dental clinic patient registration workflow.

  • Collects and records patient payments at time of service.

  • Manages assigned cash box per the Front Office Collections Workflow and Money Handling Expectations

  • Refers patients to Health Benefit Specialists when appropriate.

  • Scans all acquired patient documentation and accurately indexes into electronic health records.

  • Creates a positive customer experience for internal and external customers.

  • Offers prompt and friendly service to those entering the building, calling on the phone, or through electronic messages in a professional and timely manner to ensure their needs are met.

  • Accurately documents messages and communicates to the appropriate individual.

  • Maintains visitor log. Provides and collects visitor badges.

  • Ensures the reception area and waiting room is clean and tidy.

  • Completes assigned internal and/or external referrals.

    Qualifications You Will Need to Bring

Required

  • One year in a healthcare environment or two years in a customer service role

  • Excellent customer service skills

  • Effective English communication skills, written and verbal

  • Effective Spanish communication skills, written and verbal

  • Ability to think critically to effectively resolve problems

  • Initiative

  • Ability to follow written and verbal instructions

  • Basic math skills

    Your experience and skills determine your base pay. The hiring range for this position is typically $14.15 – 17.69. Candidates with extensitve related experience may be eligible for additional compensation up to the pay grade maximum of $21.23. PHC also offers a comprehensive benefits package, including:
