Job Summary and Qualifications

This position supports the mission of Presbyterian/St Luke’s Medical Center of optimizing the quality of life of all those served by expanding beyond the traditional focus on medical needs to the needs of the whole person.

Under the direction of the Director of Pediatric Services Lines, the Multi-Disciplinary Clinic Coordinator will perform a broad range of administrative duties supporting multiple outpatient clinic and specialty physicians. These clinics include, but are not limited to: Cleft Palate Clinic, Aerodigestive Clinic, Feeding Clinic, Kool Kids, and Genetics Clinic. Due to the impact these departments have on RMHC growth strategy, this role requires the highest level of customer service, organization and multitasking skills .

Duties include, but not limited to:

· Greets patients and visitors in a prompt, courteous, and helpful manner.

· Checks in patients, verifies and updates necessary information in the medical record.

· Schedules, cancels and reschedules patient appointments and clinics as necessary.

· Answers phone, screens calls, takes messages, and offers basic clinic information.

· Prepares charts, coordinates lab work, and ensures complete medical records are obtained prior to clinic.

· Obtains referrals for clinic visits from referring physicians and preauthorization’s for studies from insurance companies.

· Assists with the coordination of clinic calendars and rotations, ensuring all providers and applicable offices have accurate schedules and appropriate specialties are represented at each clinic.

· Responsible for entering accurate billing and charge capture following the completion of each clinic and assisting with reconciliation of charges, as necessary.

· Collaborate with patient navigators to track patients and ensure proper follow-up for those with an applicable prenatal diagnosis, NICU discharge and surgical follow-up.

· Visit patients on the floor to inform of resources/clinics as appropriate

· Serve as the clinic liaison with various third-party resources as the representative for our multi-disciplinary clinics and connect patients and families as appropriate (Rocky Mountain Children’s Foundation, Ronald McDonald House, Face-to-Face Colorado, Dash for Smiles, etc.)

· Assists with the appropriate release of images for patients, specifically airway or aerodigestive studies performed in clinic.

· Maintain appropriate databases/spreadsheet for patient follow up, referrals sources, etc.

· Ordering office and outpatient medical supplies.

· Special programmatic projects as needed.

What qualifications you will need:

  • Bachelor’s Degree Preferred

  • 2 years previous experience including office management, proficient in Word, basic spreadsheet skills and database knowledge required. Experience in patient care setting is preferred. Medical Assistant experience/certification preferred.

  • Ability to communicate effectively with patients, families, physicians, and other health care team members. Must be able to demonstrate the following: anticipate problems and work effectively to resolve issues; communicate effectively both verbally and in writing; must be able to exercise independent judgement, work under stressful conditions and relate and communicate with all levels of personnel/customers.
