Stetson University Administrative Support I, History and SPREES CL9938 in DeLand, Florida

Under the general supervision of the History Department Chair and the SPREES Program Director, the Administrative Support I performs administrative support duties in connection with the management of an office supporting a total of 32-33 faculty (12-13 in History, including part-time faculty; 6 in Stetson’s Program in Russian, East European and Eurasian Studies, and nearly 14 additional faculty qua affiliated programs). This position is responsible for relieving the History Department Chair and SPREES Program Director of routine operational and administrative details. Work is performed with considerable independence within the scope of established policies and procedures. Work is reviewed through conferences and written reports.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

  • Expected to be in the History Department office and the SPREES building unless otherwise agreed upon with the History Department Chair and the SPREES Program Director

  • Efficiently handle paperwork and administrative tasks, including course schedules, textbook orders, budgets, travel, transcripts, student grant applications, lists of students for awards, other routine paperwork, etc.

  • Take care of copying and scanning, maintain departmental and program supplies, maintain office machines, and assist with other departmental and program supplies and equipment

  • Supervise office help (work-study students), including hiring, routing of work, scheduling, and maintenance of standards

  • Assist with (including scheduling) departmental and program meetings, occasional catered events, occasional departmental and program conferences, and other departmental and program events

  • Handle interaction and communication with other campus offices

  • Coordinate departmental and program social media outreach

  • Primary responsibility for production of the History Department newsletter

  • Maintain detailed curriculum records including course descriptions, General Education requirements, and Writing Enhanced courses

  • Assist with student organizations such as Phi Alpha Theta (the History Honor Society), Dobro Slovo (Slavic Honorary Society) and Vmeste (club), and support programs directed by History faculty, including the American Studies Program, the Latin American and Latino Studies Program, the Jewish Studies Program, the Asian Studies Program, and other programs and faculty projects where necessary

  • Provide support for faculty service, including the Stetson Undergraduate Research Experience, Professional Development, recurring events such as the annual Holocaust Memorial Lecture organized by the Jewish Studies Program and the Malka Altman Memorial Lectures in Jewish Studies, and various task forces where necessary

  • Provide access to the University community and the public by phone, e-mail, and drop-in inquires

  • Assist with alumni relations and fundraising

  • Edit and proofread syllabi, letters, memoranda, and other academically-related documents

  • Contribute to communal environment through engagement with students in the SPREES Center

  • Carry out and maintain biennial scholarship competitions for study abroad opportunities for students

  • Maintain connections with current students and alumnae of SPREES

  • Complete special projects as assigned by the History Department Chair and SPREES Program Director and other site and position specific functions as assigned

Required Experience

  • High school diploma/GED, supplemented by two (2) years of business college courses in secretarial sciences, and four (4) years of experience in responsible administrative support work; or an equivalent combination of training and experience

    Ideal Candidate Qualifications:

  • Bachelor’s Degree preferred

  • Knowledge of Stetson’s administrative structure and SCT Banner

    Work Environment: The administrative staff member will be based in the History Department office (Elizabeth Hall, Room 312) and the SPREES building, and will be expected to work in-person, so there is no Flexible Work Arrangement (FWA).

    Salary Grade: 4
