Walgreens Senior Manager - Records, Technology & Information Governance in DEERFIELD, Illinois

Job Summary :

Responsible for the development and strategic oversight of all components of the Company’s Records, Technology & Information Governance Program. Responsibilities include management of compliance monitoring, reporting and training. Responsible for establishing records and information governance policies, processes and programs that are practical, compliant and cost effective. Responsible for developing, deploying and maintaining innovative processes, workflow and technologies for legal department, records and information management and reporting.

Job Responsibilities

  • Provides strategic consultation for the international business units/divisions with respect to the records management program. Leads cross-functional teams to perform risk assessment and identify plan to support appropriate records management for physical, structured, unstructured and backup/offsite records.

  • Project management, development of process improvements, automated workflow, as well as end user training and enhance the global team’s operational effectiveness and support.

  • Work with IT to identify enabling technology to support efficient records management. Develop and/or enhance related business policies, rules and procedures.

  • Establishes and oversees the maintenance of the Records Retention Schedule and related policy and procedures of all records on an enterprise wide basis.

  • Reviews, recommends and revises organizational business policies to achieve compliance with technology, legal, regulatory, operational and records information governance requirements.

  • Analyzes the current records system and processes and makes recommendations on effective records management compliance.

  • Work with Legal on global basis to enhance and make consistent legal hold process.

  • Provides leadership and strategic direction to business partners and various departments, including new acquisitions, regarding compliance with retention policies and schedules. Manages the integration or the transfer of records and information for internal reorganizations, mergers, acquisitions, or divestitures.

  • Collaborates with records management vendor partners; ensures successful vendor relations and contract execution among business areas enterprise wide. Manages support staff that handles the daily processing of service requests for offsite storage and secure recycling and participates in customer account resolution.

  • Monitors compliance with the policy and procedures and advises Division and Department Records Representatives of control opportunities and concerns.

  • Recommends program improvements through audit of program quality and user practice.

  • Oversees the destruction review process and provides consultation to Department Managers for the purge of onsite or offsite records. Confirms that records are appropriately reviewed for destruction and ultimately destroyed in a timely manner. Supports and/or sponsors future management projects.

  • Evaluates and recommends records management tools, systems and resources needed to operate the Records Management Program. Provides consultation for new and modified records management resources, including but not limited to the acquisition of new storage equipment, software applications and records management systems.

  • Develops a strategic plan for a records and information governance program using best practices methodologies to support and achieve long-range organizational goals and established and emerging regulations.

  • Advises business units on development and implementation of plans for integrating records with intra/extranets, portals, content management systems, etc.

  • Maintains awareness and knowledge of developments within the records management industry.

  • Oversees education of personnel as to records retention, storage, security and disposal. Presents to all levels and areas of the company in order to develop an understanding within the business and to imbed sound records governance practices.

  • Leads the Records Governance Committee at quarterly meetings to consider recommendations made regarding records and retention. Recommends solutions when no agreements arise to reach a comparable solution to records and/or retention issues brought in front of the Governance Committee.

  • Collaborates with IT, Legal, HR and Finance Departments to support litigation hold and e-discovery processes.

  • Leads teams by coaching, mentoring, and resolving problems to support the successful operations of the records and information governance program. Indirectly manages network of departmental records representatives and serves as their subject matter expert for all record related issues.

External Basic Qualifications:

  • Bachelor’s degree and at least 4 years of experience working in a corporate records management role OR a High School Diploma / GED and at least 7 years of experience working in a corporate records management role

  • At least 4 years of experience maintaining a records retention schedule

  • At least 4 years of experience developing, implementing and/or maintaining a records retention program, such as policies and procedures

  • Experience working with MS Office , including PowerPoint, Excel, and Word.

  • Experience with using and managing records within Microsoft 365 tools including Outlook, SharePoint, OneDrive, Power Automate, Power Flows and Teams.

  • Experience using PowerBi, Tableau and other reporting applications.

  • At least 2 years of experience contributing to financial decisions in the workplace.

  • At least 2 years of direct leadership, indirect leadership and/or cross-functional team leadership.

  • Willing to travel up to 10% of the time for business purposes (within state and out of state).

Preferred Qualifications:

  • Certification as Certified Records Manager (CRM) as granted by American Records Management Association (ARMA).

  • Bachelor’s degree and at least 7 years of experience working in a corporate records management role OR a High School Diploma / GED and at least 11 years of experience working in a corporate records management role

  • At least 2 years of experience managing records destruction

  • At least 2 years experience managing healthcare records

  • Experience working on cross functional teams

  • Experience with Microsoft Purview (Compliance Administrator role preferred)
