We are seeking an experienced and dynamic Senior Operations Coordinator, Service & Repair, to oversee and manage various operational tasks for the EMEA region. This role involves working closely with multiple departments and coordinating a small team to ensure smooth and efficient operations. The ideal candidate will have a strong background in loan management, contract administration, warehouse management, and import/export regulations.

Key Responsibilities:

Loan Management for EMEA

  • Manage product evolution, repair, and rental loan requests for the EMEA regions.

  • Establish contracts, dispatch loaners, maintain loaners, and handle their collection.

  • Ensure timely and efficient processing of loan requests to meet customer needs.

Contract Management

  • Collaborate with Legal and Regulatory departments to develop, revise, and manage contracts for loaners.

  • Review and work with the legal department on contracts supplied by customers.

  • Ensure all contracts comply with company policies and legal requirements.

Warehouse Management

  • Oversee inventory control and order fulfillment processes.

  • Organize storage space and implement safety protocols.

  • Schedule maintenance for equipment and coordinate with suppliers and carriers.

  • Optimize warehouse layout for maximum efficiency and productivity.

Import/Export Regulations

  • Ensure compliance with customs requirements and obtain necessary permits.

  • Classify products according to tariff codes and maintain accurate documentation (e.g., invoices, Certificates of Origin).

  • Monitor regulatory changes in the EMEA region and conduct risk assessments.

  • Work closely with the Trade Compliance Team to stay updated on regulations.

Purchasing

  • Set up and manage relationships with suppliers.

  • Maintain optimal inventory levels and ensure timely delivery of goods or services.

  • Analyze purchasing data to identify cost-saving opportunities and optimize purchasing processes.

Coordinating the EMEA Operational Team

  • Lead a team of two, assigning tasks and setting deadlines.

  • Ensure key performance indicators (KPIs) are met.

  • Conduct weekly meetings, create and maintain work instructions (WIs) and standard operating procedures (SOPs).

  • Provide training and support to team members.
