Robert Half Executive Assistant in Dallas, Texas
Description
We are offering an exciting opportunity for an Executive Assistant to join our team in the Financial Services industry, located in Dallas, Texas. In this role, you will provide high-level executive support to several C-level executives, handling a variety of administrative tasks, and interacting with senior partners, clients, and colleagues.
Responsibilities:
• Organize and manage active calendars for multiple partners and senior bankers
• Coordinate both domestic and international travel itineraries and agendas
• Conduct word-processing and desktop publishing tasks utilizing Microsoft suite and other software
• Compile and reconcile expense reports for assigned bankers adhering to company policy
• Update and maintain the CRM database with accurate contact information, call notes, and distribution lists
• Exercise discretion in dealing with confidential information and sensitive materials
• Coordinate internal and external meetings, dinners, and events, including contract negotiation with venues
• Manage and screen phone lines for bankers, maintaining a detail-oriented image for all clients and colleagues
• Assist with the integration of new banking team members
• Develop and maintain excellent relationships with external clients and internal partners
• Manage office supplies and inventory
• Welcome and direct visitors to the office
• Perform general clerical duties, such as photocopying, faxing, and filing.
Requirements
• Bachelors degree preferred
• 5 + years of experience as an Executive Assistant in the Financial Services industry
• Proficiency in using Concur for expense management and reporting
• Demonstrated skills in Calendar Management, capable of organizing and scheduling meetings effectively
• Experience in preparing and managing Expense Reports, ensuring accuracy and timely submission
• Proven ability to Book Travel Arrangements efficiently, considering cost-effectiveness and time management
• Capability to Coordinate Travel Arrangements, including accommodation, transportation, and itinerary planning
• Expertise in Handling Travel Arrangements, including resolving any travel-related issues promptly and effectively
