We have an exciting opportunity in GE HealthCare Pharmaceutical Diagnostics for an Administrator (Maternity Cover).

GE HealthCare Ireland Limited manufactures and distributes X-ray and MRI Contrast Media for internal and external customers worldwide. As part of the Pharmaceutical Diagnostics (PDx) business of GE Healthcare, we support the PDx vision of being the best-in-class supply chain delivering the right dose to the right patient at the right time here at our campus at Carrigtohill, Co. Cork.

Every second of every day, 365 days a year, a patient is diagnosed with the help of our products through procedures such as X-Ray and MRI. We are a modern, agile, cost competitive team delivering to the highest standards of safety, quality, and compliance to patients around the world.

Job Description

Roles and responsibilities

  • Provide cross functional administration support for key business initiatives as required by the Admin Team Lead and Site Leadership Team

  • Craft, evaluate and modify emails, letters, agendas (and other forms of communication)

  • Prepare and share internal communications

  • Cover to support Executive Assistant at the Cork Campus

  • Provide logistical support for internal and external events

  • Extensive calendar management, booking travel, arranging visas, taxis and preparing travel itineraries

  • Responsible for event organisation and travel arrangements for key global stakeholders

  • Process expenses in line with company policy

  • Administration of Core T&A for Global Team Members

  • Preparation of DHL documentation for shipment requests

  • Manage multiple priorities and provide ad-hoc project support

  • Establish and develop strong relationships with the administrative team and key stakeholders

  • Provide discreet and confidential coordination of sensitive business information including raising of purchase orders

  • Support for site projects groups e.g., Corporate Social Responsibility.

  • Prepare presentation materials, produce reports, and maintain files/documents

  • Support front of house activities

Principal Qualifications

Alongside experience in a similar role, you should be confident demonstrating the following:

  • You have proven experience in assisting senior leaders and working with diverse teams

  • You are digital savvy and can master Microsoft Office tools including Outlook, Teams, PowerPoint, and Excel.

  • Knowledge of Smartsheet is desirable but not essential

  • A high degree of self-management, organisational skills, and an excellent communicator (English oral and written)

  • Excellent attention to detail including spelling, grammar, and formatting to ensure quality and accuracy of all outputs

  • Experience of managing a busy workload, including complex and competing priorities whilst remaining organised and professional, working to deadlines, and delivering under pressure

  • Knowledge and/or interest in Lean methods and standard work, always working from a Lean mindset. Proactively driving continuous improvement whilst demonstrating a behaviour of thinking ahead of the curve

  • Capable of fostering close working relationships

  • Ability to provide absolute security for highly confidential information and to maintain the confidentiality of extremely sensitive information

This role reports into the Executive Assistant to the Plant Leader, Cork. You will need to be based at our campus in Cork, but we are happy to consider flexible working options. Hybrid working available, at least 3-days on campus. On site presence will be required during initial training period and to support executive site visits.
