The University of Miami Climate Resilience Academy (UMCRA) is seeking a Sr. Program Coordinator to assist with the coordination of the day-to-day operations of UMCRA's initiatives. A newly established institute at the University, UMCRA serves an important function coordinating resilience-focused efforts within the university and connecting them to local, national, and international initiatives focused on strengthening communities against shocks and stresses. The Sr. Program Coordinator will play a core role in helping UMCRA to achieve its mission, goals, and objectives. An employee in this position demonstrates familiarity with University policies and procedures and ensures program compliance.

CORE JOB FUNCTIONS

  • Assists with research and writing/preparation of program content with a focus on grant proposals applications, reports, conferences and convenings, etc.

  • Helps to coordinate grant application process including grant research, assembly of grant materials including budgets, all in adherence with University research guidelines and policies.

  • Coordinates the collection, compilation, and analysis of program data to help monitor and measure success.

  • Collaborates with financial officer to produce monthly budget reports tracking operational expenditures.

  • Drafts meeting agendas, assists in preparation of meeting materials, and coordinates and attends committee meetings as needed.

  • Assists with the development and implementation of program marketing including building and strengthening social media connectivity.

  • Provides assistance and support for participants and/or program constituents in all administrative aspects of the program and maintains files and/or program data.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS Education:

High school diploma or equivalent. Bachelor’s degree is highly preferred in related fields such as: public policy, ecosystem science, law, communications, architecture, strategic planning, urban planning, community development, real estate, management consulting, higher education.

Experience:

Minimum 3 years of relevant experience. Experience working collaboratively with a team is highly desirable. Adherence to deadlines, focus on details, and willingness to jump into collaborative efforts with a can-do attitude is highly valued. Appropriate combination of relevant education and/or experience may be considered.

Knowledge, Skills and Attitudes:

  • Skill in completing assignments accurately and with attention to detail.

  • Ability to analyze, organize and prioritize work under pressure while meeting deadlines.

  • Ability to process and handle confidential information with discretion.

  • Ability to work evenings, nights, and weekends as necessary.

  • Familiarity with social media platforms and website management (Cascade, CMS) desirable

    Department Specific Functions:

  1. Grants and Funding:
  • Assist with assembling funding proposals and grant submissions, working with internal and external partners to ensure adherence to deadlines

  • Build proficiency in internal grant project management database, working with the Office of Research Administration to stay current on administrative policies and deadlines

  • Identify grant opportunities for funding or projects that align with the Academy's mission, working with UMCRA staff to share opportunities appropriately

  1. Communication:
  • Support the Academy's outreach efforts to students, faculty, and external stakeholders through social media, email distribution, and other channels

  • Create weekly schedule of social media posts and work with student assistants to ensure regular deployment and follow-through

  • Maintain and update UMCRA website to ensure that information is accurate and up to date.

  1. Programming and Events:
  • Assist with logistics related to the Academy's planned conferences and events, including but not limited to: event planning, speaker and participant outreach, day-of logistics, catering, and facilities reservations

  • Assist as needed with preparation of materials for UMCRA staff presentations and speaking engagements

  1. Research and Education Support:
  • Maintain and update a database of University and external papers, articles, best practices, and other materials in local and national resilience efforts align with/support UMCRA goals

  • Perform administrative support functions as necessary to support the Academy
