The University of Miami School of Law has a great opportunity for a Senior Program Coordinator to work at the Coral Gables Campus.

The Sr. Program Coordinator performs a variety of research, planning, and administrative functions to support and facilitate the growth of the LawWithoutWalls (LWOW) program and to provide administrative support for Professor DeStefano’s other classes.

CORE JOB FUNCTIONS

Works closely with the Director of the LWOW Program, the Founder of the LWOW Program, and other full-time faculty, adjuncts, staff, and students (from UM and the other LWOW participating schools) to continuously support and improve the learning experience and quality and value of the program. Registers students for courses and in puts grades using University procedures and systems. Acts as an academic advisor for students in the LWOW Program. Helps to develop strategic partnerships with external entities and organizations. Creates monthly budget reports to ensure operations are within plan and ensures reconciliation of budgets Oversees database maintenance and enrollment management of participants and students in LWOW and of students in Professor DeStefano’s other classes. Responds to various requests and telephone, email, and internet submissions for LWOW. Plans and participates in open houses and other meetings for the LWOW. Adheres to University and unit-level policies and procedures and safeguards University assets. Supports department and/or LWOW leadership with daily clerical tasks Serves as the liaison between the LWOW and other Units at UM and other schools and participants of LWOW Prepares materials related to marketing, student recruiting, fundraising, data reporting and other functions needed to support the work of LWOW Makes calendar appointments, travel arrangements and reservations for department leadership and staff, as needed. Manages supplies and assets for LWOW and purchasing of required supplies and instructional materials. Handles expense reimbursement and P Card expenses. Helps develop LWOW event themes for all LWOW events including but not limited to LWOW PopUps, WarmUps, and Sprint including branding, giveaways, logo design. Helps develop and create marketing and social media strategy and content (including written and video posts) Updates Blackboard and Google Classroom as needed and per the syllabus created by the Director of LWOW and Professor DeStefano

Department Specific Functions

  • Supports the two Directors with daily administrative tasks related to coordination of the LWOW Program and Professor DeStefano’s other classes. The LWOW Program is a global, multi-disciplinary program involving international and a large numbers of students and professionals engaged in cross-cultural collaboration.

  • Benchmarks relevant law school, CLE, and executive education programs and assists in the development of programming for the LWOW Program.

  • Acts as liaison between UM and other universities, programs, and bar associations.

  • Under minimal supervision makes complex scheduling arrangements involving multiple parties, including but not limited to meetings and conferences; and makes complex travel arrangements and handles reimbursements.

  • Prepares financial forms (purchase orders, check requisitions) and handles Workday process for payments and reimbursements.

  • Requests and purchases office/clerical supplies as needed.

  • Composes and edits internal correspondence and documents or selects standardized formats, designs presentations and may create drafts of department publications such as flyers, PowerPoint presentations, website text; provides routine and general clerical support which may include reports, and statistics;

  • Make photocopies of correspondence, documents, and other printed matter; mail, fax, or arrange for delivery of legal correspondence to stakeholders.

  • Serves as a primary information resource regarding department and University policies, procedures, and operational functions.

  • May lead the work assignment of student workers and temporaries.

  • Answers telephones, take messages, answers routine questions, and transfer calls to appropriate individuals.

  • Greets visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs.

  • Handles other special projects such as student awards and medallions and research assistants.

  • Helps with posting assignments and running webinars and other online events.

  • Provides administrative support to Professor DeStefano for the other courses she teaches outside of LWOW.

  • Works with the Director of LWOW on marketing, fundraising, data compilation, and other projects related to LWOW. In this role, the Senior Program Coordinator independently manages projects and coordinates with the department’s internal team as well as with external Departments.

  • Other duties as assigned.

Education/Experience: High School or equivalent and minimum 3 years of relevant work experience. Some college preferred.

Knowledge, Skills and Attitudes:

  • General knowledge of office procedures and operations

  • Ability to accurately prepare and maintain records, files, reports, and correspondence

  • Ability to communicate effectively in both oral and written form

  • Ability to maintain effective interpersonal relationships with internal and external stakeholders

  • Ability to process and handle confidential information with discretion

  • Skill in completing assignments accurately and with attention to detail

  • Proficiency in computer software (i.e. Microsoft Office) and ability to learn new software needed to perform job functions (e.g. Clio, Mailchimp, Feedback Fruits, Blackboard, Microsoft Teams, Google Meets)

  • Ability to draft a variety of materials (e.g. summaries of department work, text for websites, flyers)

  • Ability to function independently and work with a large team to complete certain projects (e.g., recruitment, completion of department newsletter etc.)

  • Ability and interest in social media and marketing strategy and content development

  • Ability to proactively communicate, follow-up, and collaborate with others
