The School of Nursing and Health Studies Dean's Office has a great opportunity for a Administrative Assistant to work at the Coral Gables Campus.

Primary Duties and Responsibilities:

  • Greet guests and provide excellent customer assistance to guests that visit the SONHS

  • Answer incoming calls

  • Provides routine and general clerical support.

  • Completes assignments requiring the collection, and organization of data (may provide analysis).

  • Composes correspondence or selects standardized formats.

  • May maintain calendars, schedule meetings, and book conference rooms.

  • Submitting business expense reimbursements in Workday

  • Responsible for updating the SONHS master conference/events calendar.

  • Assists with ongoing/new projects or large-scale events for the SONHS administration team.

  • Requests table sponsorship for SONHS events and leadership team.

  • Maintains central databases/spreadsheets for equipment inventory and in-kind donations.

  • Updates the SONHS Emergency Tree.

  • Assist with Simulation Hospital events; set-up and breakdown may require long hours.

  • Submits catering orders for SONHS and Simulation Hospital.

  • Assist the instructional design team with keeping the Resources Center on Blackboard current.

  • Manage the scanning (using Onbase software) and shredding process of terminated and declined faculty personnel files.

  • Provides assistance by covering for the Office of Student Services front desk & SONHS Receptionist as needed. Duties include answering the multi-line telephone, transferring calls, guide students through the Student Advising check-in process, answering student program and general school related questions.

Knowledge, Skills, and Abilities:

Workday experience preferred

Knowledge of routine office practices and procedures.

Knowledge of simple data processing and transmission principles.

Ability to utilize computerized information systems.

Ability to read and decipher data on source documents to be entered.

Ability to enter and verify information with accuracy and a reasonable rate of speed.

Ability to understand and follow oral and written instructions.

Skill in data entry or typing

Education Requirements (Essential Requirements):

High school diploma or equivalent.

Work Experience Requirements (Essential Requirements):

Three (3) to Five (5) years of progressive related experience.
