Job Title: FHC Administrative Assistant

FLSA Status: Full Time - non-exempt Reports to: Program Manager/Asst. Program Manager

Schedule: 40hrs WeeklyRate of Pay: $19.06 Hourly

Closing Date: 9/9/2024

Benefits: Standard; Full-Time, Non-Exempt employees are eligible for but not limited to the following:

Function

Under the supervision of the Program Manager & Asst. Program Manager of the RJ Montgomery Family Hoe Center to provide administrative and operational support to the Managers and general administration as assigned. Serves as the point person for most office matters. Ensures office systems are in place and most effective in the overall operations and functions of the department.

Duties and Responsibilities

  • Works as a support for the Program managers and the front desk operations.

  • Maintains the front desk during daytime hours to include answering phone calls, greet walk- ins, answer questions, talk with clients/assist them as needed.

  • Meets and greets all the public that enter the Shelter with warmth and a serving attitude.

  • Responsible for giving directions to daytime volunteers.

  • Receive and assist vendors who come through the front doors.

  • Receive invoices from deliveries and get them to the Corps Bookkeeper.

  • Coordinate with local churches for weekend meals and maintain a current schedule of those participating.

  • Solicit donations for the Center, hygiene products, socks, etc.

  • Writes letters of thanks to those who donate time, service and goods to the Shelter.

  • Receives and processes outgoing and incoming mail.

  • Attends staff meetings and takes minutes for the meeting and distributes as directed by the Program managers. Maintains employee contact list.

  • Ability to maintain all files both hard copy and electronic copies

  • Ability to create reports for Director

  • Maintains Data Quality control

  • Will track and understand stats

  • Supports seasonal projects, as needed.

  • Helps with record keeping for clients at the shelter programs as needed.

  • Other duties as assigned.

Education, Experience, Skills, Qualifications

  • Must have 2 years’ experience in administrative support in an office

  • High School Diploma or equivalent

  • Microsoft Word and Excel, and other programs needed to do the job efficiently required Working knowledge of integrated database applications and ability to use new software programs with basic training.

  • Excellent computer skills

  • Must possess knowledge and understanding of known databases

  • Excellent verbal and written communication skills

  • Ability to meet deadlines, manage multiple tasks and work independently

  • Have a valid driver’s license with proof of insurance

  • Excellent organizational skills and the ability to be accurate and efficient in a timely manner

  • Ability to work independently with little or no supervision

  • Ability to prioritize

  • Ability to de-escalate agitated persons when needed

  • Ability to maintain confidentiality

  • Driving

  • If the position requires driving:

  • A minimum age of 21 (for insurance provision) and possession of a valid in-state driver’s license is required.

  • An MVR will be processed every year in accordance with The Salvation Army’s policies.

  • Background Check

  • Continued employment will be contingent upon a biennial (every two years) background check that is processed in accordance with The Salvation Army’s policies.

Physical Requirements

  • Ability to walk, stand, bend, squat, climb, kneel, and twist on an intermittent or continuous basis.

  • Ability to grasp, push, pull, and reach overhead.

  • Ability to operate telephone.

  • Ability to lift 25 pounds.

  • Ability to access and produce information from the computer.

  • Ability to understand written information.

  • High School or Equivalent or better

Experience

Required

  • 2 years: Experience in administrative support in an office.
