Salary/Pay Range : $46,833 - $60,430 annually. Compensation will be commensurate upon experience and qualifications. This position is Exempt from the Fair Labor Standards Act (FLSA) overtime provisions.

Work Location: The work location for this position is on-site with hybrid options.

Summary

The Donor Relations Coordinator has primary responsibility for supporting initiatives to inspire positive donor relations throughout the continuum of the donor experience. This position will be an integral contributor to the philanthropic priorities of the campus including campus-wide stewardship and leadership initiatives. The position will facilitate positive and mutually rewarding relations between the University and its donors through consistent and productive engagement. The position will work in partnership with the UCCS University Advancement Team as well as campus constituents.

The Donor Relations Coordinator is responsible for the day to day operations and the execution of initiatives that create systems, procedures, activities and events that positively impact the many stages of the donor life cycle. This position requires strong attention to detail, creativity, written communication skills, resourcefulness, ingenuity, strong diplomacy, flexibility, capability to execute projects, customer service and a can-do approach. The Donor Relations Coordinator will report to the Donor Relations Program Manager and will work closely with alumni, donor, and development staff.

Essential Functions

The duties and responsibilities of the position include, but are not limited to:

  • In consultation with the Donor Relations Program Manager, support execution of the strategic direction of university-wide donor relations by collaborating with advancement colleagues as well as campus, system and foundation units.

  • Work in partnership with members of the UCCS University Advancement team to support individualized donor relationship activities with special attention to stewardship for the University's most generous donors to ensure they are engaged in and informed of the impact of their philanthropic support.

  • Implement timely gift acknowledgement process for all major gifts and gifts including writing for the Chancellor/Sr. Vice President of Advancement, in collaboration with the UCCS University Advancement staff, including acknowledgement letters, briefings for stewardship meetings and events and other special projects as needed.

  • Support current and future donor recognition programs and events, including the Main Hall Society, Annual Donor Celebration, and similar University-wide philanthropic functions.

  • Performs day to day administrative tasks, which may consist of composing and maintaining external lists, internal documents and processes.

  • Utilize donor database (Ascend and Advancement Intelligence) and similar systems for record maintenance, mailing management, and development of reports to execute donor and other stewardship activities.

  • Resolve donor-related questions and concerns quickly and effectively.

  • Manage timelines and responsibilities for several different projects at once.

  • Draft strong, clearly written communications (email and written correspondence, contact reports, etc.) to ensure flow of information is recorded accurately in Ascend database.

  • Execute gift acknowledgement process including thank you letters, customized donor communications; track mailings; create ThankView campaigns for stewarding donors.

  • Provides overall administrative support for donor relations projects. Support includes, but is not limited to, answering and directing phone calls, preparing routine and non-routine correspondence, donor research, impact report preparation and execution of scholarship thank you letter process.

  • Create and maintain processes with key partners to drive their donor stewardship interactions including writing stewardship briefs, prepare stewardship materials, answering questions on stewardship processes, and data reports as needed.

  • Other duties as assigned.

Qualifications

Minimum Qualifications

Applicants must meet minimum qualifications at the time of hire.

  • Education: Bachelor's Degree OR substitution of professional experience related to essential functions on a year for year basis.

  • Experience: Relevant experience in fields related to customer or donor relations.

  • Evening work is expected on occasion for team event support.

Preferred Qualifications

  • Work in a fundraising/development office with 1-2 years' experience in donor relations and stewardship strongly preferred.

  • Software Experience: Microsoft Office Products, including Word, Excel, Outlook, and PowerPoint; database management software; project management software like Trello.

  • Project Management System Experience: Agile Framework.

  • CRM programing: Salesforce preferred.

Physical Requirements

While performing the duties of this job, the employee is frequently required to sit. Employee is occasionally required to move. Tasks will involve looking at a computer continuously for long periods of time. The employee must occasionally lift and/or move up to 20 pounds.
