Salary Range : $79,275 - $83,240 annually. Compensation will be commensurate upon experience and qualifications.

Summary

The Director of Chancellor & University Events reports to the Senior Vice Chancellor of University Advancement and serves as a department head on the University Advancement team. The director is responsible for coordination of major university events from multiple departments and will coordinate event goals, logistics and outcomes. This includes university-wide events and ceremonies, and events on behalf of the Office of the Chancellor and the Senior Vice Chancellor of University Advancement. This position will have budget oversight of approximately $150k annually and provide supervision to full-time professional staff member(s).

Essential Functions

The duties and responsibilities of the position include, but are not limited to:

Event Management

· Provides leadership and coordination for major university leadership and donor events, including but not limited to, the Chancellor's Office, Alumni Relations and Donor Relations, University Development, University Marketing and Communications, University Advancement.

· Serves as the primary project manager of approximately (160) internal, and external strategic events annually: including Board of Regents events, Commencement, CU Foundation events, CU Presidential Finalist visits, groundbreakings, beam toppings, building openings/dedications, Campus Awards Ceremony, scholarship events, and major donor events with an emphasis on those events that represent the Office of the Chancellor, University Advancement, and University-wide ceremonies.

· Directs all event logistics, design and décor; negotiating contract terms with vendors; processing contracts and agreements in accordance with University and State regulations.

· Works closely with the University Advancement team to establish the goals of each major university event, develops measures to achieve them, and executes them.

· When appropriate, engages with donors and establishes their vision for programs.

· Ensures that event logistics are progressing according to the client's vision and objectives. Works with the Chancellor's Office, Senior Vice Chancellor for University Advancement, Assistant Vice Chancellor of University Advancement, Development Officers, and Development Coordinators to determine and manage invitation lists and guest data.

· Works with University Center and Event Services staff on facility booking, event set-up/tear­down, A/V requirements and other event needs.

· Partners with Media Services team to coordinate virtual and hybrid events.

· Collaborates with UCCS catering team on all food and beverage orders. Partners with the Catering Chef on creative menu requests to fulfill client's vision, attendee dietary and religious restrictions. Ensures food and beverage orders fit within the client's budget.

· Inputs catering orders, event set-up into Kx Conferencing. Creates Social Tables diagrams. Share event documents with clients for approval.

· Liaisons with UCCS Police, Facilities, Parking and Transportation on special event requests.

· Partners with the UCCS eCommunication team on electronic invitation sends and troubleshoots why guests may not receive electronic communication. Provide feedback to appropriate planning partner.

· Creates 50-75 event registration websites annually, creates 50-75 electronic event invitations, distributes invitations, gathers RSVPs, and manages event communication.

· Oversees all other aspects of special event planning, including but not limited to date selection, program development, event logistics, on-site event execution and event problem solving.

· When appropriate, determines and implements appropriate post-event guest contact in conjunction with the University Advancement development team.

· Evaluates each special event to determine whether goals were reached and to make recommendations for improvement.

Constituent Engagement

· Responsible for supporting University Advancement and Chancellor's Office through executing engaging events that strengthen constituent's relationship and ties to the University.

· Support and contribute towards the development of key constituent relationships through events which help build University prestige and pride.

· Share any constituent event feedback received with appropriate planning partner.

Leadership & Supervision

· Supervises full-time professional staff member(s) in a hybrid format by setting expectations, monitoring performance and providing constructive feedback on a regular basis.

· Oversees full-time professional staff member responsible for leading three UCCS Commencement ceremonies annually.

· Partners with full-time professional staff members to create UCCS Ambassadors program.

· Recruits student leaders for UCCS Ambassadors program. Serves as coordinator and supervisor for the UCCS Ambassadors program. Advise participating student leaders on actions to achieve the group's mission and goals in accordance with appropriate University policy and protocol.

· Collaborates with team members and faculty/staff from across the University to engage participating student leaders in a program of personal and professional development that prepares them to support institutional priorities and events.

Budget Management

· Develops and ensures the effective management of event and operating budgets on annual basis, totaling $150k annually.

· Responsible for managing multiple departments' event budgets, in addition to a $150,000 annual executive events' budget, and a full-time event coordinator.

· Works with appropriate finance staff to closely monitor and control expenditures from the appropriate funds, ensuring adherence to University procurement guidelines and fiduciary responsibility to State and donor funded programs.

· Creates and manages a budget for each event and an annual budget chronicling all expenses and ensuring that financial objectives are met.

Qualifications

Minimum Qualifications

Applicants must meet minimum qualifications at the time of hire.

  • Education: Bachelor's degree or equivalent

  • (5) Five or more years of planning and on-site event management experience in a professional setting

  • Experience working with executive-level professionals

Preferred Qualifications

  • Master's degree with an emphasis in hospitality management, business, communication, public relations, or marketing is preferred.

  • Experience working with fundraising and development initiatives

Physical Requirements

While performing the duties of this job, the employee is frequently required to sit. Employee is occasionally required to stand and walk. Tasks may involve looking at computer screen continuously for long periods of time. The employee must occasionally lift and/or move up to 10 pounds.
