Summary The Program Support Assistant (PSA) provides administrative support to Housing and Urban Development-Veterans Affairs Supportive Housing (HUD-VASH) by relieving the HUD-VASH staff of routine administrative clerical work, by setting priorities and coordinating duties while working both independently and as part of the HUD-VASH team to achieve the service mission. Responsibilities Duties of the position include but are not limited to: Performs work involving the collection, compilation, entry, and/or tracking of data and statistical information related to managing referrals to the program. Maintaining an accurate program census and database, staffing records, and compliance with Commission on Accreditation of Rehabilitation Facilities (CARF) and Joint Commission requirements. Completes mailings of newsletters, program information, satisfaction surveys, and other documents in a timely and correct manner. Assists with quarterly leave reviews. Manages the website, distribution groups, assignment of devices, and coordinates training for Soloprotect or other safety device for community-based workers. Maintains electronic and paper files in accordance with Veterans Health Administration records control schedule. Prepares memos, letters, sick-leave certifications, or warnings as needed by program supervisor. Prepares meeting agendas, minutes, and reports for HUD-VASH and the Social Work Service. Orders supplies before they run out and upon request. Organizes and tracks completion of required staff documents, especially those needed annually. Maintain SharePoint sites and shared drives in an organized manner. Serves as purchase card holder as needed and maintains accurate and complete records as required. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/20/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: scheduling appointments; screening calls and visitors and providing necessary information according to policy; utilizing office automation software to format letters and reply to inquiries; general clerical and administrative work, collect, compile, and/or track data and statistical information, organize data; preparing a wide variety of recurring and non-recurring correspondence; maintain office files and records; prepare, execute, and/or track program specific information. You will be rated on the following Competencies for this position: Communication Computer Skills Customer Service (Clerical/Technical) Manages and Organizes Information Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; etc. There will be extensive work with computers involving typing and use of a mouse. No special physical demands are required to perform the work. Preferred Experience: Proficient in Administrative tasks, computers, Microsoft Outlook, Spreadsheets, Microsoft Word, Microsoft Excel and Microsoft Teams.
