Robert Half Administrative Assistant in Coachella, California

Description We are in search of an Administrative Assistant to be a part of our team in the non-profit industry, stationed in Coachella, California. This role offers a long term contract employment opportunity and involves handling a wide range of administrative duties, from routine to complex, to support our departmental operations.

Responsibilities:

• Processing various administrative tasks such as filing, preparing records and reports, and managing accounts payable

• Conducting skilled word processing and data entry tasks, using independent judgment and discretion in preparing correspondence and reports

• Compilation of data to produce monthly statistical reports for managers, including data checking and correction

• Conducting research within areas of responsibility to prepare and provide follow-up information to customer and staff inquiries

• Assisting in providing telephone and/or counter support to the public and staff, explaining procedures and providing general information

• Responding to public and staff inquiries regarding department policies, procedures, and timelines

• Typing, originating, formatting, proofreading, and distributing a variety of reports, letters, and memoranda

• Organizing and maintaining various administrative, reference, imaging, and follow-up files

• Assisting in the records management and retention function, including scanning, editing, and indexing all official documents, paperwork, and records

• Receiving payments and fees from the public in the form of cash and check, issuing receipts, and posting information to departmental, fiscal, or other records

• Checking and tabulating standard arithmetic or statistical data, summarizing such information and preparing periodic numerical reports

• Verifying and reviewing forms and reports for completeness and conformance with established regulations and procedures

• Assisting in planning, organizing, and coordinating City-sponsored events. Requirements • Minimum of 2 years of experience in an administrative role within the non-profit industry

• Proficiency in Microsoft Office Suite, including Excel and Word

• Demonstrated experience with basic office skills such as filing, scheduling, and answering phones

• Experience with administrative office procedures, systems, and processes

• Excellent written and verbal communication skills

• Ability to work well in a team environment

• Strong organizational skills and attention to detail

• Ability to multitask and prioritize tasks effectively

• Proactive attitude and ability to take initiative in problem-solving.
