Description

Rachel Miller at Robert Half is offering an exciting opportunity for a Contract Administrator in Clifton Park, New York. The role operates within the construction industry and primarily involves administrative and technical tasks. As a Contract Administrator, you will provide support across departments, ensuring adherence to policies, procedures, and standards.

Responsibilities:

• Actively play a part in achieving administrative function goals through timely and accurate completion of tasks.

• Provide necessary support to the Leadership Team, addressing challenges and issues related to administrative support.

• Uphold company databases of project, subcontractor, vendor, and documents, ensuring they are consistently updated and accurate.

• Review project agreements and request legal and insurance agent reviews to ensure all subcontractor and vendor insurance documents meet project requirements.

• Assist Project Managers in handling and tracking submittals and change orders.

• Enter new commitments and change orders into accounting system,

• Aid Accounts Payable in resolving variance of mismatching vendor invoices to Purchase Orders.

• Prepare Purchase Orders, Supply Agreements, Subcontract Agreements, and Proposal Contracts, liaising with vendors or subcontractors for timely execution of documents.

• Report M/WBE/SDVOB status to Owners on a monthly basis and prepare close-out documents for each project's completion.

• Collaborate with other Admins to ensure adequate support of Construction and Pre-Construction departments during peak workload periods.

• Carry out occasional errands such as mail delivery to the post office and bid delivery using a company vehicle.

Requirements • Proficiency in Accounting Software Systems

• Experience with ADP - Financial Services

• Proficient in using CRM

• Familiarity with ERP - Enterprise Resource Planning

• Knowledge of Auditing

• Ability to manage Billing Functions

• Understanding of Budget Processes

• Knowledge of Compliance requirements

• Experience with Construction Accounting

• Ability to understand and manage Construction Documents

• Experience with Construction Drawings

• Previous Construction Industry Experience is a plus

• Ability to read and understand Construction plans

• Experience managing Construction Projects
