JOB SUMMARY: This individual will be responsible for handling front office reception and various administrative duties, including greeting guests and offering them a beverage, answering phones, handling company inquiries, and sorting and distributing mail and faxes.

 

DUTIES/RESPONSIBILITIES:

  • Answer phones and operate switchboard.
  • Route calls to appropriate associates.
  • Answer inquiries about Brewer-Garrett.
  • Greet visitors warmly and ensure they are comfortable and inform appropriate BG personnel.
  • Schedule conference rooms and training center.
  • Ensure the reception area and conference rooms are tidy.
  • Coordinate mail flow in and out of the office including mail, parcels, faces, FedEx & UPS.
  • Maintain and update the information that appears on the lobby television.
  • Maintain and order supplies for the postage meter, copiers/printers, cleaning and general office supplies.
  • Maintain and update associate phone directory.
  • Maintain and track service technician pagers.
  • Handle all travel arrangements for BG personnel.
  • Serve as backup for the in-house training coordinator as required.
  • Provide administrative support for SECorps as assigned.
  • Perform basic filing and clerical duties for various departments as assigned.
  • Other duties as assigned.

QUALIFICATIONS:

  • High school diploma or GED
  • Three (3) years of administrative experience
  • Driver's license and reliable transportation

     

KNOWLEDGE, SKILLS & ABILITIES

  • Strong communication skills (oral and written); must be able to effectively relay information to various audience groups, including, but not customers and perspective customers, managers, leadership, colleagues, and business associates.
  • Strong interpersonal skills: ability to foster and maintain positive working relationships with individuals internal and external to the company and from various backgrounds.
  • Strong organizational skills with the ability to self-motivate and prioritize tasks; must be able to effectively manage own schedule with limited oversight.
  • Must be able to prepare professional written communications (emails, documents, etc.)
  • Must demonstrate professionalism and tact in all interactions.
  • Demonstration of time-management skills with a proven ability to meet deadlines.
  • Good analytical skills: ability to analyze data and relay trends and potential outcomes; ability to evaluate problems and identify resolutions; good negotiation skills.
  • Proficient user of Microsoft Office Suite and Adobe PDF.
  • Ability to maintain satisfactory attendance.

     

WORKING CONDITIONS

This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
