This position is responsible for the direct support of various management in the Consumer Brands Group. The Executive Administrative Assistant will provide the Group President & General Manager, SVP of HR, and SVP of Finance, with a full range of administrative support and services for the Consumer Brands Group. The Executive Administrative Assistant functions include, but are not limited to, maintain calendars, travel schedules, coordinating meetings, answering phones, opening/distribution mail, expense reports, data entry, conference calls, special projects, spreadsheets, time, and attendance (Kronos), copies and other reports and presentations as needed. Key job responsibilities for this position include the following: Creating an organized system of tracking, monitoring, and prioritizing tasks and projects. Managing and maintaining the Executive's schedule, making appointments and travel arrangements. Maintaining up-to-date e-mail groups. Ensuring the Executive Management team receives timely, accurate information and documentation for meetings and presentations. Preparing written communications such as writing and editing emails, drafting memos, and preparing communication on behalf of the executives. Will utilize various computer applications and must be advanced in Microsoft Office Suite products (PowerPoint, Excel, Word, Outlook). Effective calendar management including making arrangements for global travel with travel visas and scheduling various business meetings. Ability to procure and process international travel documents such as Visas, etc. Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary. General administrative support such as expense reporting and other executive reporting. Conduct research and plan for business meetings and company conferences. This will include, but is not limited to, the National Sales Meeting and Annual Mid-Year Meeting, responsibility will include registering Executives along with the coordination of the events. Coordinate the Leadership Onboarding agendas for new hires. Assist with the Annual Org Review Process, quarterly town halls, and other employee group meetings. Processes purchase orders and invoices for the department. Demonstrate the ability to display a high degree of professionalism and confidentiality in communication when interfacing with other Divisions of the Company on behalf of the Consumer Brands Group. Perform general clerical duties involving answering the phone, arranging teams' meetings, conference calls, and filing. The role requires some travel during the Valspar Championship and National Sales Meetings. The Executive Administrative Assistant will work independently and must be dependable, punctual, organized, and be able to work well within a team environment. Other Key success factors for this position include executive planning, organization and follow-through, flexibility, and ability to work under pressure and tight deadlines. Special projects and other assignments as directed by the executive team including open positions and monthly reporting. POSITION REQUIREMENTS FORMAL EDUCATION: Required: Associate degree Preferred: Bachelor's Degree KNOWLEDGE & EXPERIENCE: Required: Must be at least eighteen (18) years of age. Must be legally authorized to work in the country of employment without needing sponsorship for employment work visa status now or in the future. Seven plus (7+) years of administrative experience providing executive-level administrative support. Must have experience handling confidential information. Must have experience working on projects or tasks that require detailed planning, organization, and follow-through.
