PRINCIPAL RESPONSIBILITIES:

Manage and Optimize Invoicing and Financial Statement Processes:

  • Oversee the preparation and distribution of invoices for multiple business units.

  • Organize the printing and mailing of invoices, ensuring timely and accurate delivery.

  • Proof invoicing and letter files for accuracy and completeness prior to distribution.

  • Develop and implement new letter and invoice templates to improve clarity and efficiency.

  • Monitor and ensure compliance with regulatory requirements for invoicing and financial statements.

Project Administration:

  • Administer multiple invoicing and financial statements projects each year.

  • Execute and monitor project timelines, ensuring adherence to deadlines and project plans.

  • Engage with stakeholders to conduct testing, provide updates, and align project goals with business objectives.

  • Conduct quality assurance reviews to ensure accuracy and completeness of invoicing and financial statement processes.

Communication and Coordination:

  • Communicate delays and updates to relevant stakeholders in a timely manner.

  • Consolidate feedback from various sources to inform process improvements and decisions.

  • Coordinate with cross-functional teams to ensure efficiency in invoicing processes.

  • Prepare detailed invoicing reports for internal and external stakeholders.

Process Improvement and Efficiency:

  • Identify opportunities to streamline invoicing and financial statement processes.

  • Implement changes and initiatives to enhance workflow effectiveness and productivity.

  • Monitor the impact of process improvements on performance metrics and business outcomes.

  • Develop and maintain documentation for all invoicing and financial statement processes.

Data Management:

  • Handle large datasets for invoicing purposes, ensuring accuracy and security of data.

  • Perform mail merges to generate personalized invoices and correspondence.

  • Utilize Microsoft Word and Excel to manage and analyze invoicing data effectively.

Leadership:

  • Provide guidance to team members involved in invoicing and financial statement processes.

  • Train team members to enhance their skills and knowledge in invoicing and financial statement management.

  • Foster a culture of collaboration and continuous improvement within the team.

  • Adhere to all policies and procedures related to Workplace Health and Safety.

  • Demonstrate integrity in all aspects of the position by doing the right thing, taking responsibility, and delivering on promises.

  • Display leadership values by ensuring effective communication, respecting peers, managers, and supporting team members.

KEY POSITION CRITERIA:

  • Proficiency in Microsoft Word and Excel, coupled with a demonstrated commitment to continuous skills enhancement.

  • Strong organizational skills and meticulous attention to detail, upholding diligence, and accuracy in all aspects of your work.

  • Excellent critical thinking and problem-solving abilities, demonstrating strong analytical prowess.

  • Proven experience in managing invoicing processes and financial statements, with a genuine passion for driving process improvement and optimization.

  • Strong project management skills, including planning, execution, and monitoring, with a focus on efficiency and effectiveness.

  • Ability to work with large datasets and perform mail merges, ensuring data accuracy and security.

  • Excellent communication and stakeholder engagement skills, with a positive demeanor to promote a positive team environment.

  • Self-motivation, coupled with exceptional time management, multitasking, and organizational competencies.

  • Flexibility and willingness to readily undertake a wide array of tasks within a fast-paced setting, actively advocating and championing process improvement principles.
