After School Matters Grant Billing Specialist in Chicago, Illinois

After School Matters is a Chicago-based nonprofit organization that annually offers after-school and summer programs to nearly 19,000 Chicago high school teens to explore and develop their talents while gaining critical skills that will set them up for success in college and beyond.

Thirty years later, now known as After School Matters, our program has engaged more than 400,000 Chicago teens and is the nation’s largest and most successful provider of after-school and summer programs for high school teens. No other organization offers programs to high school students at the scale and quality that we do.

We offer paid apprenticeships led by professionals in the fields of arts, communications and leadership, sports, and STEM (Science, Technology, Engineering, and Math). Our nationally respected youth development model has been replicated in cities across the country and earned us the City Livability Award from the U.S. Conference of Mayors.

Programs take place at community locations throughout the city, including three ASM buildings: downtown at Gallery 37 Center for the Arts, the Michael and Karyn Lutz Center in Belmont Cragin, and the Pullman community at Gately Park.

Currently, After School Matters’ annual operating budget is approximately $35M and employs approximately 500 staff across the organization.

Summary of Position:

The Grant Billing Specialist is a full-time position, and will work with departments across the organization to ensure expenses are submitted in a timely matter and according to contracts to their respective grants for reimbursement. The Grant Billing Specialist will ensure After School Matters has updated financial information as it relates to the organization’s grants.

Major Duties and Responsibilities:

• Monitor, analyze and maintain transactions by grants’ requirements.

• Prepare grantor-required invoices and supporting documentation, timely and accurately based on grantor timelines 

• Coordinate with Programs, Finance, and other departments to ensure compliance with Grantor’s requirements and guidelines

• Track and record revenues in its respective accounting period from submitted invoices.

• Research and resolve any inquiries from Grant Sponsors.

• Assist the Finance departments in budget process for funding of future programs.

• Responsible for organizing and filing grantors’ contract agreements to ensure that the terms and conditions of agreements are met and properly documented and communicated.

• Assist Finance departments in external Grant Audits

• Maintain accurate records and provide reporting as needed to the Finance Department

• Other duties as assigned.

Knowledge, Skills and Abilities:

• Understanding of Generally Accepted Accounting Principles

• Proficiency in Microsoft Office

• Ability to prioritize, organize and assess work in order to meet aggressive deadlines

• Ability to establish and maintain relationships with departments across ASM

• Ability to communicate, both orally and in writing, clearly and effectively

• Attention to detail and organization.

• Knowledge of principles and processes for providing customer and personal services.

Qualifications:

• Bachelor’s degree in accounting or finance or  equivalent experience. 

• Minimum 2 years’ experience in similar environment

Salary range: 

$50,113 - $55,297
