Sargent & Lundy Executive Assistant/Project Coordinator in Chicago, Illinois

Description

This position allows for a hybrid work schedule with a mix of work spent in office and working remote from home.

We are seeking a highly organized and detail-oriented individual to join our team as an Executive Assistant/Project Coordinator. The successful candidate will provide comprehensive administrative and project coordination support to our Chief Technology Officer and senior technology management staff, enabling them to focus on their core responsibilities. As an Executive Assistant/Project Coordinator, you will be responsible for managing schedules, coordinating meetings and travel arrangements, preparing reports, and handling confidential information with the utmost professionalism. Your exceptional communication and problem-solving skills, combined with your ability to prioritize tasks and work independently, will be crucial in ensuring the smooth operation of our executive team.

Responsibilities will include, but are not limited to:

  • Manage executive calendars, including scheduling and coordinating meetings, conferences, and travel arrangements

  • Prepare and edit correspondence, presentations, and reports as needed

  • Maintain a high level of confidentiality when handling sensitive information

  • Act as a gatekeeper, screening incoming calls, emails, and requests, and redirecting or responding appropriately

  • Organize and maintain files, records, and documents, ensuring accessibility and accuracy

  • Conduct research and compile data for reports or presentations as required

  • Proactively anticipate executive needs and provide necessary support to ensure their efficiency and productivity

  • Assist with the coordination and logistics of special projects or events as assigned

  • Serve as a point of contact between executives, employees, clients, and external partners

  • Collaborate with other administrative staff to ensure seamless office operations

Qualifications

Qualifications:

  • Proven experience as an executive assistant/project coordinator or similar role, preferably in a fast-paced corporate environment

  • Excellent organizational skills, with the ability to prioritize multiple tasks and meet deadlines

  • Strong attention to detail and exceptional problem-solving abilities

  • Excellent written and verbal communication skills

  • Proficient in using Microsoft Office Suite and other relevant software applications

  • Ability to handle confidential information with the utmost discretion and professionalism

  • Strong interpersonal skills and the ability to build relationships with stakeholders at all levels

  • Resourcefulness and ability to work independently with minimal supervision
