Your Day-to-Day Responsibilities:
Inventory Management: Maintain accurate records of IT equipment and supplies, ensuring inventory levels are kept up to date. You’ll monitor stock, order items as needed, and ensure proper labeling and tracking of equipment.
Logistics Coordination: Arrange timely shipment of IT tools and equipment, ensuring operational efficiency in support of staff and organizational needs.
Data Reporting: Pull and prepare detailed reports, helping the IT department make informed data-driven decisions.
Scheduling: Manage the Chief IT Officer's busy schedule, including booking and confirming appointments. Ensure meetings and deadlines are seamlessly coordinated.
Administrative Support: Handle planning in Excel and other tools while maintaining accurate records of department operations and communications.
What We're Looking For:
Experience/Qualifications: Prior administrative support or office assistant experience required (experience in IT support environments is a plus!). Proven skills in managing schedules, reports, and inventory systems.
Tech-Savvy: Proficiency in Microsoft Excel and other Microsoft Office tools. Quick adaptability to learn new technologies is a must.
Attention to Detail: You excel at tracking information, ensuring nothing falls through the cracks.
Problem-Solving Mindset: You anticipate potential issues and find proactive solutions, keeping operations on track.
Strong Communication Skills: Ability to speak clearly, write professionally, and collaborate across various teams and departments.

Requirements
• Minimum of 3 years of experience in an administrative role, preferably providing IT administrative support
• Proven ability to handle inbound and outbound calls effectively
• Exceptional customer service skills, with an emphasis on maintaining detail-oriented relationships
• Demonstrated proficiency in data entry tasks, ensuring accuracy and attention to detail
• Experience in email correspondence, maintaining a high level of detail orientation and responsiveness
• Advanced proficiency in Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word
• Proven ability to schedule appointments, manage calendars, and coordinate meetings
• Strong organizational skills with the ability to multitask and prioritize effectively
• Excellent written and verbal communication skills
• A collaborative team player with a proactive approach to tasks
