The Nature Conservancy Executive Assistant III in Charleston, West Virginia

WHAT WE CAN ACHIEVE TOGETHER The Executive Assistant for Provide Food & Water will perform various high-level administrative tasks for the Global Managing Director and Deputy Director. This will include managing their calendars, prioritizing inquiries and requests, proactively troubleshooting conflicts, making judgments and recommendations to ensure smooth day-to-day engagements, drafting correspondence, collecting and preparing briefings or presentations for meetings, booking and managing travel logistics, and handling expense reporting and timesheet management.

The Executive Assistant will maintain, track, analyse, and report on key data for senior management. Based on extensive knowledge of policies and procedures, the executive assistant will provide guidance in satisfying requirements. They will adapt processes and implement recommended practices to improve effectiveness. They will communicate on behalf of their supervisor and have substantial contact with stakeholders, including all levels of staff, donors, volunteers, vendors, and business relations.

They will take on additional duties to enhance the team's work. Such duties may include, but are not limited to, a more significant role in training, developing documentation, and/or enhancing the team's systems and tools. Given our global team's time zones, they will also be able to work outside of work hours. You will be a contributing member of the operations team.

WE'RE LOOKING FOR YOU We're seeking someone who is proficient in Outlook management, has experience with logistics planning and leading of meetings and note taking, as well as experience in domestic and international travel i.e. visas, passports, travel booking, etc. The ideal candidate should be a team player with a positive attitude that is a quick learner and thrives working in a fast-paced environment. They are a multi-faceted individual capable of managing several ongoing priorities and an excellent collaborator and communicator. The ideal candidate is creative and able to come up with innovative solutions as well as being receptive to coaching and receiving feedback.

WHAT YOU'LL BRING Bachelor's degree and 5 years related experience or equivalent combination. Experience generating reports and analyzing and interpreting data. Experience managing the schedule and contacts of a senior leader. Experience with Smartsheet, Zoom and Microsoft Products. Experience working across departments and different time zones. DESIRED QUALIFICATIONS

Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated; Ability to implement complex processes. Ability to use existing technology to achieve desired results. Demonstrated experience using diplomacy and tact to build strong relationships and motivate staff. Experience coordinating projects. Experience interpreting guidelines to achieve desired results. Knowledge of current trends in the specific field. Strong organizational skills, accuracy, attention to detail and ability to manage multiple tasks. Successful experience implementing strategic program goals.
