HOW AN ADMINISTRATIVE ASSISTANT IV WILL MAKE AN IMPACT:

  • Working in a discreet environment handling sensitive and personal information daily

  • Completing transactional duties with special attention to detail, being organized, and multi-tasking

  • Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email

  • Handling and receiving incoming and outgoing correspondence

As an Administrative Assistant IV, your day-to-day responsibilities will include:

  • This Administrative Assistant serves as the special assistant to the investigations division front office, primarily to the two senior executives in the office

  • All of the office's managers are located in this office in Chantilly

  • The special assistant will work with two administrative assistants to provide a full range of support to office's management

  • This Administrative Assistant role will manage the workflow of continuously changing priorities, schedules, and action items for the two senior executives within the front office

  • Based on the changes in office priorities, the assistant will have authority to independently schedule/reschedule meetings and ensure that all parties involved are updated

  • The candidate will present clear and concise information in both written and verbal formats, to include creating and responding to administrative correspondences; assisting with preparation of information briefings to various audiences; and maintaining internal communication media

  • Must be cognitive of the criticality, sensitivity, and confidentiality of the issues they are made aware of during daily interactions

  • Candidate independently performs standard administrative duties, including answering telephone calls, typing, proofreading, and editing memoranda

  • Position requires excellent customer service and the ability to resolve conflicts and respond tactfully to callers

  • Serves as focal point for the training of all incoming office personnel, both staff and contractors

  • Maintains and updates office front office (administrative) Standard Operating Procedure and maintains office supply stock for the front office as well as staff rooms

  • Orders supplies using sponsor's supply system and inventory tracking databases

  • Uses appointment and reservation systems to approve conference room requests

  • Uses standard Microsoft Office tools to manage division correspondence and data

  • The Administrative Assistant candidate will answer phone calls and receive visitors while resolving conflicts with discretion, forethought and tactfulness

  • Serves as focal point for the training of all incoming office personnel, both staff and contractors

  • Prepares requests for new staff arrival training courses and submits results

  • Maintains all contact information for the division and submits employees for database access

  • Manages office calendars, including office conference room, Leave calendar and interview room calendar

  • Processes credential requests in coordination with other government office contacts

  • Prepares panel books for executive staff as needed

  • Candidate processes credential requests in coordination with other government office contacts

  • Processing these requests involves filing proper forms with sponsor's badge office, coordinating with other staff officers to obtain relevant information , monitoring & receiving completed credentials and returning unneeded credentials back to badge office

  • As a member of office admin group, approves conference room requests for internal assigned conference rooms via reservation system

  • Independently performs standard administrative duties, including answering telephone calls, typing, proofreading, and editing memoranda

  • Presents clear and concise information in both written and verbal formats, to include creating and responding to administrative correspondences; assisting with preparation of information briefings to various audiences; and maintaining internal communication media

  • Position requires excellent customer service and the ability to resolve conflicts and respond tactfully to callers

  • Maintains and updates front office (administrative) Standard Operating Procedure and maintains office supply stock for the front office as well as staff rooms

WHAT YOU'LL NEED TO SUCCEED:

  • The position requires an active TS/SCI with Polygraph clearance

  • High School Diploma and seven (7) years of relevant experience or equivalent combination of education and experience

  • Core hours are 9:00am-3:00pm

  • Proficient Word, Excel, Outlook, PowerPoint

  • Able to perform duties with minimal supervision and some team interaction

  • This position is on customer site

The likely salary range for this position is $132,964 - $152,909. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
