Site Services Administrator

Job Description

To provide general administrative and site services in a variety of areas and oversee certain projects as requested.

This position will support our sites in Chandler and Tempe, AZ. This is an onsite position at the Chandler site on Monday, Wednesday, and Friday, and on site at the Tempe site on Tuesday’s and Thursday’s, subject to change with direction from the Security Manager.

Candidates must be detailed oriented and have a can- do attitude. This position reports into the Security Manager in San Jose.

Role and Responsibilities:

  • Support office and electronic lab operations in Chandler and Tempe

  • Plans and forecasts the facilities budget and recommends facility repairs maintenance

  • Answer phones and direct all incoming calls to appropriate party promptly and efficiently.

  • Greet clients, vendors, and guests.

  • Receive, ship, sign for, and distribute UPS/FedEx/USPS or similarly delivered packages and mail.

  • Perform general clerical duties to include, but not limited to, data entry, copying, faxing, and filing.

  • Plan, organized, and scheduled meetings, and special events.

  • Place food and catering orders for various events.

  • Manage inventory and order kitchen-office supplies, furniture, and consumables. Receive, organize, shelf, collect and maintain inventory of office equipment, shipping, and kitchen supplies.

  • Maintain cleanliness of common areas, kitchen, and copy areas.

  • Support the execution and implementation of tasks and projects.

  • Maintain confidentiality in all aspects of the company.

  • Manage security access control system, badging and CCTV

  • Issue, distribute and manage proximity access badges for employees, new hires, and visitors.

  • First Responders and First Aid/CPR courses - coordinate classes with Red Cross and/or Cintas, and petition folks to become First Responders.

  • Manage day to day facilities and security issues. Report issues to facilities / security manager. Coordinate with building management to resolve.

  • Manage relationships with vendors and ensure contract obligations are met.

  • Coordinate various vendors for facilities and security services, site administration, and equipment.

  • Review service invoices from vendors and approve them to the Internal Accounts Payable Dept.

  • Create GPR’s and interact with sellers, vendors, and contractors.

  • Cross communicates with other administrative assistants, other employees/contractors in different departments and locations.

  • Manage floor plans with employee cubicle and office assignments, create name plate inserts for new employees.

  • Coordinate with IT Department to set up new laptops, telephones, printers, and other office equipment.

  • Coordinate with Human Resource Department to assist with onboarding of new hires.

  • Assist HR with postings, and local activities.

  • Provide facilities orientation, set up workstations and order office supplies for new employees.

  • Create, print, and post company announcements/policies.

  • Monitor company paid covered parking stalls, report violations to building property management.

  • Work is performed in an indoor and outdoor environment; travel from site to site; exposure to noise, dust, grease, smoke, fumes, noxious odors, gases, mechanical and electrical hazards, and all types of weather and temperature conditions.

  • Primary functions require sufficient physical ability and mobility to lift up to 25 lbs, walk, stand, and sit for prolonged periods of time; to frequently stoop, bend, kneel, crouch, crawl, climb, reach, twist, grasp, and make repetitive hand and body movement in the performance of daily duties; to lift, carry, push, and/or pull moderate to heavy amounts of weight

Qualifications

  • High School diploma or equivalent required plus a minimum of two years of administrative experience.

  • Computer literate in Microsoft Office Suite.

  • Able to adapt to various computer software.

  • Good writing, analytical, problem-solving skills, and communication skills.

  • Ability to work independently with little or no supervision.

  • Ability to interact with all levels within the organization in a fast-paced environment, coordinating the input of others in these circumstances, sometimes under tight deadlines and pressure, remaining flexible, proactive, resourceful, and efficient with a high level of professionalism and confidentiality.

  • Ability to multi-task and adapt to change quickly.

  • Excellent negotiating, and networking skills

  • Self-motivated person who enjoys challenges

  • Must have excellent organization skills, with good accuracy & attention to detail.

  • Discreet, flexible, and can react responsibly.

  • Leadership skills and the ability to work well as part of a team.

  • Ability to work under pressure and meet tough deadlines

  • Ability to think outside the box and challenge the "norm"

  • Prepared to be hands-on & must be practical. Can handle repair tools and office equipment.

  • Excellent interpersonal skills, to deal with people at all levels

  • Professional and corporate work ethic, displaying discretion & sensitivity when appropriate

  • Good customer service skills

  • Project management skills preferred.
