Position Summary:

Reports to the Sr. Vice President, Education & Training. Performs a wide variety of administrative functions that require extreme discretion and accuracy. High level of professionalism in interactions with all levels of staff and external relations, and is adept in working effectively with executive level staff. This is an in-office position at our Headquarters in Centerville, UT.

Essential Functions:

  • Provide general office management, including overall monitoring, prioritizing and supervising administrative support functions.

  • Distribute mail and correspondence – incoming and outgoing.

  • Supervise work-based learning student as needed; provide training, support and assistance as necessary.

  • Analyze and organize department operations and procedures, including electronic timekeeping, forms control, flow of correspondence, filing, drafting, editing correspondence, reports and other documents.

  • Maintain calendar by scheduling, coordinating and updating meetings/conference calls.

  • Prepare and coordinate travel for the department; ensure proper forms for travel are completed with distribution to appropriate offices and staff.

  • Coordinate all functions of the annual student leadership and center director conferences.

  • Provide assistance in monitoring performance statistics by developing spreadsheets, compiling, storing and retrieving performance data for review and analysis to identify trends in center operations.

  • Coordinate with other departmental and regional administrative assistants.

  • Develop effective relationships with Job Corps leaders and employees including but not limited to Regional Vice Presidents, Operations Directors, Center Directors, Deputy Center Directors, and corporate Nursing Directors.

  • Reconcile Purchasing Card expenses.

  • Offer support to Regional calls, Mission Critical calls, and in-service calls.

  • Provide email support to itemize priorities for leadership.

  • Work independently with a strong ability to attend to priorities, working on many project details at once.

  • Act as liaison between the Sr. Vice President, Education & Training and department staff, other MTC staff and the customer.

  • Receive telephone calls and visitors; tactfully refer them to the proper individual.

  • Maintain accountability of property; adhere to safety practices.

  • Demonstrate a commitment to valuing diversity and contributing to an inclusive working environment.

  • Ensure day-to-day activities promote sustainability and reduce the impact on the environment by minimizing waste and maximizing recycling; saving energy; and minimizing water usage.

  • It is expected that the incumbent shall perform other duties as assigned within his/her capabilities as determined by management.

Education and Experience Requirements:

  • High school diploma or equivalent and four years Administrative experience.

  • Working knowledge of Humanitas, RFPs, CPARs, ROCAs, ROTAs, SOPs, PIBs, MIBs, OA, CTS, OBS, LAM, LAE, etc.

  • Advanced knowledge and proficiency in Microsoft Office 365.

  • Understanding of Workforce Software, timesheets, and approvals.

  • Must have excellent verbal and written communications skills.

  • Experience with Oracle, Egencia, and OMS Reports preferred.

  • Unless waived by management, valid driver's license in the state of employment with an acceptable driving record.
