Confidential Secretary- HR Coordinator

The Human Resources Coordinator is available for the right individual who is willing to support our HR Vision: To support a culture of engagement to attract, develop, and retain a talented workforce while supporting the mission and vision of the district by advancing our human resources practices.

PRINCIPAL DUTIES

  • Take customer calls and provide accurate, satisfactory answers to their questions and concerns

  • Respond professionally and respectfully to Human Resources emails within 24 hours

  • Guide employees through troubleshooting and navigating the district site

  • Works with online application software for applicant tracking and recruitment including posting jobs, screening and processing applications to engage with candidates for positions at the district

  • De-escalate situations involving dissatisfied employees, offering assistance and support

  • Assist with the teacher hiring process.

  • Assist in issuing employee contracts for teachers.

  • Responsible for the onboarding process for classified staff.

  • Work one-on-one with applicants and employees in person and by email/phone

  • Facilitate and track pre-employment requirements. Ie. background checks, drug screening, physicals

  • Maintain accurate employee records for all employees

  • Responsible for data entry; enter, update and maintain system data and maintain HR system; review data for accuracy and completion

  • Assist with exit/stay interviews for all staff.

  • Assure that all employees are in compliance with I9 rules and regulations.

  • Create new hire records and maintain personnel files

  • Maintain a positive and successful relationship with employees

  • HR Administration projects as assigned

  • Responsible for documenting processes and creating systems for standardization of work

  • Ensure actions comply with applicable bargaining contracts and personnel policies

  • Provide support to the Chief of Human Resources as assigned

  • Other duties as assigned

CLASSIFICATION

Confidential Secretary

Twelve (12) months.

EMPLOYMENT DATE and COMPENSATION:

$21.89 per hour

QUALIFICATION REQUIREMENTS

  • Previous experience in Human Resources required

  • Bachelor’s Degree in Human Resources or related field preferred

  • Strong computer skills including data entry, email, Microsoft office, and Google

  • Knowledge of HR policies, procedures and HR Systems

  • Proven experience supporting a team in a face-paced environment and changing environment required

  • Time management: The ability to organize and manage multiple priorities under pressure

  • Strong customer service orientation

  • Excellent interpersonal and communication skills

  • High performing team member

LANGUAGE SKILLS:

Ability to read, analyze, interpret, and implement ideas contained in technical documents, reports, regulations, etc. Ability to effectively write reports and communications to administrators, colleagues, parents, students and staff. Ability to effectively present information orally and respond to questions from administrators, teachers, staff and students.

MATHEMATICAL SKILLS:

Ability to perform basic mathematical functions. Ability to use spreadsheets and reporting documents that assist with the computation of data.

REASONING ABILITY:

Ability to solve problems effectively. Ability to interpret and implement a variety of instructions furnished in written, oral, diagram or schedule form.

OTHER SKILLS and ABILITIES:

Ability to establish and maintain effective working relationships with administrators, colleagues, community members, staff and students. Ability to speak clearly and concisely both in oral and written communication. Ability to perform duties with awareness of all district requirements and Board of Education policies

The employee must frequently lift and/or move up to 50 pounds 0 to 12 feet and occasionally up to 20 feet, such as curriculum materials, desks, chairs, and boxes. The employee will sometimes push/pull items such as tables and carts. Specific vision abilities required by this job include close vision, color vision and the ability to adjust focus while working with computers, written materials, reports, assessment data, etc.

The noise level in the work environment is moderately quiet. The position requires the commitment of professional working hours that may require the employee to extend beyond a typical 8:00 a.m. to 4:30 p.m. workday. The employee will frequently work in different areas of the building including in/at desks, on or near the floor, standing.
